Job Summary
We are seeking a highly organized and client-focused Wealth Management Client Service Associate / Personal Assistant to support our advisory team and ensure exceptional client service. This role involves assisting with client account administration, supporting daily office operations, and providing administrative and personal assistance to the owner. The ideal candidate will have strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Client Service & Account Administration:
Serve as the first point of contact for clients—answering phones, responding to inquiries, and ensuring a positive and professional experience.
Assist with account openings, transfers, contributions, and distributions, ensuring accuracy and compliance.
Maintain and update client records, account documentation, and internal reporting systems.
Prepare materials for client meetings, including reports, presentations, and follow-up communications.
Process money movements, beneficiary changes, and investment allocation adjustments as requested.
Executive Support
Provide direct administrative support to senior advisors, including calendar management, meeting scheduling, and handling day-to-day correspondence.
Support office operations to maintain smooth and efficient workflow.
Answer and direct incoming calls in a timely and professional manner.
Monitor and manage office supply inventory, placing orders when necessary.
Personal Assistant to Owner
Assist with professional and personal tasks, errands, and logistics on behalf of the owner.
Technology & Process Improvement:
Utilize CRM software, financial planning tools, and portfolio management systems to optimize client service processes.
Identify and implement opportunities to improve efficiency and elevate the client experience through technological advancements and workflow enhancements.
Qualifications & Experience
Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.
Strong written and verbal communication skills with a client-first approach.
High level of professionalism, discretion, and meticulous attention to detail.
Job Type: Full-time
Pay: $55,000.00 – $70,000.00 per year
