Essential Function of Job

The Assistant to the President is a multifaceted role crucial to the effective operation and promotion of the organization’s mission. Duties include providing comprehensive administrative support to the President and leadership team, overseeing administrative systems and purchasing, and facilitating communication with the Governing Board and Policy Council. Additionally, the Assistant assists in grant management, strategic communication planning, and the production of various communication materials to enhance the Agency’s brand identity. This position also involves supporting strategic planning efforts, supervising staff, managing travel logistics, and maintaining strict confidentiality in all matters related to leadership support.

Examples of Work

Provides administrative support to the President and other members of the leadership team, as needed.

Maintains administrative support systems and activities for the Administration Office including the central purchasing of office and facility supplies for all EightCAP offices and centers.

Acts as liaison to the Governing Board and Policy Council and is responsible for logistics of the meeting calendar, development of meeting agendas and packets, preparation of the minutes, and communication to members of the Board and Policy Council. Will oversee compliance with Agency By-Laws.

Assists with the submission of grant applications, modifications, reports, and supporting grant compliance within the scope of each program’s rules and regulations.

Assists with the creation and implementation of an integrated, organization-wide strategic communication plan to broaden awareness of and strengthen the Agency’s brand identity across its service area.

Assists with the production of all communication materials (Annual Report, brochures, flyers, press releases, newsletters, etc.), maintaining media contacts, organizing development appeals, and organizing Agency events.

Supports strategic planning and community needs assessment efforts.

Provides administrative support for the Optimist Camp operations.

Supervises the General Program Assistant.

Coordinates travel schedule and logistics for the President and Board.

Maintains high level of confidentiality in matters related to support of leadership.

Performs a variety of other activities as assigned by the President.

Requirements of Work

Proficient with Microsoft Office Suite, including Excel, Word, Outlook, and TEAMS.

Must have strong written and oral communication skills and excellent grammar skills.

Ability to work well under pressure and manage multiple projects simultaneously.

Ability to express facts and ideas effectively, orally, and in writing.

Ability to establish and maintain effective working relationships with officials or governmental units and private agencies, groups, and the general public.
