TITLE: Substitute Coordinator / Administrative Assistant (Human Resources Dept.)

QUALIFICATIONS:

High School Diploma with courses in keyboarding, computer operations and businesseducation. Associate Degree level education is preferred.
Working knowledge of complex office procedures and the operations of common office equipment including personal computers and related software including personal desktop and related base, spreadsheets and advanced word.
Ability to work an extremely flexible schedule.
Meet the criteria established by the board and listed in the school system’s policy handbook.

JOB GOAL: To manage the substitute staff in an effective and timely manner, thereby enabling each child to pursue his education as smoothly and completely as possible in the absence of his/her regular teacher.

REPORTS TO: Supervisor of Human Resources

ESSENTIAL PERFORMANCE RESPONSIBILITIES:

Interviews, recommends for hire, completes new hire documents, trains, assigns, and manages substitute teachers.
Serves as the primary contact for all school administrators responsible for obtaining substitutes for their school. Communicates effectively and on a timely basis with all appropriate school-based staff regarding the substitute function.
Must be able to work an extremely flexible schedule.
Serves as the coordinator of the AESOP automated substitute system.
Develops and maintains accurate computer and hard copy reports and records as needed. Maintains substitute teacher personnel records and related forms and reports.
Reviews the Talbot County Substitute Teacher’s Handbook, becomes familiar with the contents of the handbook as it pertains to substitute employment, and serves as the primary technical resource for substitute teachers. Communicates effectively with all substitute teachers.
Verifies substitute’s payroll bi-monthly for accuracy.
Performs often complex office routines, duties and special projects associated with substitutes and the Human Resource Department.
Assumes responsibility for the independent and effective completion of work within the Human Resources Department.
Types and produces documents, reports and correspondence using computer software for word processing, desk-top publishing and spreadsheets.
Maintains the same level of ethical behavior and confidentiality about the school system and its operation as expected of all professional personnel. A breach of confidentiality may cause immediate termination.
Assumes any other reasonable duty or assignment made by the Supervisor of Human Resources, principal or designee including typing, photocopying, filing and such other tasks.

TERMS OF EMPLOYMENT: Schedule and work hours may change daily due to

nature of duties.

SALARY SCALE: CL5/02
