GENERAL DESCRIPTION:

This position acts as support for Employer Services in the Workers’ Compensation Division. The primary duty of this position is to ensure excellent customer service to the employers of Wyoming. This position is also responsible for receiving, processing, and monitoring all various information on employer accounts.

ESSENTIAL FUNCTIONS:

Provides first-line customer service, as they are often the first point of contact for an agency.

Responds to basic employer questions via email and telephone.

Makes calls, answers telephones, and routes call to appropriate staff.

Issues certificates of good standing and Issues letters of extraterritorial coverage.

Loads manual workers’ compensation employer registrations into quote status.

Receives organizes and processes all mail for all Workers’ Compensation employer services.

Manages batch and mass mailings. Utilizes the folding machine to process and mail letters. Works with Central Mail, DWS Intake, and the post office to ensure timely delivery of important documents.

Assists in creating and processing payment coupons for the WC accounts receivable team.

Assists in edits of OCR data.

Assists in the daily batch balancing for Accounts Receivable to ensure accurate information is being submitted.

Maintains inventory.

Maintains files and references procedure manuals/materials.

Assist in processes and review routine paperwork and/or enter data into a department log or database.

Prepares, proofreads, and edits routine correspondence, reports, tables, and records.

Reviews and verifies data.

Identifies and performs various support functions for staff and administration.

Attends meetings and can take meeting minutes.

Monitors pertinent office equipment such as computers, phone systems, etc., coordinates maintenance, etc.

Qualifications

PREFERENCES:

3-4 years front desk clerk experience or office support experience is preferred.

KNOWLEDGE:

Knowledge of office procedures, filing, alphabetizing, English language, and arithmetic.

Knowledge of modern office practices, procedures, and equipment.

Knowledge of word processing, spreadsheet, and email programs.

Knowledge of assembling, sorting, and distributing documents.

Knowledge of reviewing and editing documents for accuracy and completeness.

Knowledge of methods used to deal with the public tactfully.

Knowledge of telephone etiquette and coordination of telephone and visitor traffic.

Knowledge of preparation of records, reports, and correspondence.

Knowledge of agency policies and procedures.

Ability to quickly learn and understand Employer Services roles and responsibilities and how they relate to each other.

Ability to adapt and change processes when new policies are put into place.

MINIMUM QUALIFICATIONS:

Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II
