Role Description
The Back Office Executive is responsible for supporting internal business operations by handling data processing, documentation, reporting, and administrative tasks. This role ensures smooth workflow between departments by maintaining accurate records and providing operational support without direct customer-facing responsibilities.
Key responsibilities include:
- Process and maintain internal records, documents, and databases
- Perform data entry and ensure accuracy of information systems
- Support order processing, billing, and invoice management
- Prepare reports, spreadsheets, and operational summaries
- Coordinate with internal teams (finance, HR, operations, sales support)
- Maintain filing systems (digital and physical)
- Assist in reconciliation and verification of data
- Handle email correspondence and internal communication tasks
- Support compliance with internal procedures and policies
- Assist in inventory tracking or administrative support functions (if applicable)
- Identify and report discrepancies in data or processes
Qualifications
Must-have:
- Diploma or Bachelor’s degree in Business Administration, Commerce, or related field
- 1–3 years of experience in back office, admin, or data entry roles
- Strong attention to detail and accuracy
- Good computer skills (MS Excel, Word, Outlook)
- Strong organizational and time management skills
- Ability to work independently and follow processes
- Basic numerical and analytical ability
Preferred:
- Experience with ERP systems or internal business tools
- Knowledge of billing, invoicing, or reconciliation processes
- Strong communication and coordination skills
- Ability to handle repetitive tasks with consistency and accuracy
- Experience in corporate or shared services environments
