Position: Administrative Department Specialist
Work Schedule: Full-Time, Weekdays (will be assigned evening shift 1 or 2 days a week no later than 7pm)

The WCA (Women’s and Children’s Alliance), one of the region’s most respected non-profit organizations, is seeking an energetic, mission-driven professional to join our team as an Administrative Department Specialist. This is an essential role that supports our agency’s daily operations and mission by delivering high-quality administrative assistance across multiple departments.
About the Role
This position provides broad administrative support, with a special assignment to support two key departments, including work in accounts payable, deposit processing, and committee documentation. The role also includes general front office coverage and customer service responsibilities. You’ll serve as a vital connection point across teams, helping ensure organizational accuracy, efficiency, and hospitality.
Key Responsibilities
Provide administrative support to two assigned departments, including:
Processing check and cash deposits and daily bank runs
Accounts payable data entry
Preparing meeting powerpoints and packets as well as taking, editing, and distributing committee meeting minutes
General administrative support for agency operations, including:
Document preparation, filing, calendar management, and meeting coordination
Client reminder calls, mail processing, and front desk phone support
Assisting with set-up and tear-down for meetings and events
Greeting visitors, accepting donations, and ensuring a welcoming front office presence
Provide coverage and support for other administrative team members during absences
Schedule Note: Weekday evening shifts will be assigned to accommodate evening committee program needs.

Flexibility and Adaptability – Adjusts to shifting responsibilities and supports various teams across the agency
Basic Accounting and Data Entry – Accurately handles financial transactions, deposit logs, and invoice entry
Meeting and Records Support – Takes professional-quality notes and prepares committee minutes that are clear, accurate, and timely
