Job Overview:

ACES at Chase is seeking a dedicated and highly organized Bilingual School Secretary to join our team. This full-time, year-round position is a crucial part of our school’s administrative staff, ensuring smooth daily operations. The ideal candidate should be proficient in both English and Spanish and possess excellent communication and multitasking skills. Knowledge of technology is essential, and prior experience with PowerSchool is preferred. The Bilingual School Secretary will play a key role in supporting the school’s administrative functions and providing exceptional service to both adults and children.

Key Responsibilities:

Bilingual Communication:Communicate effectively in both English and Spanish to serve the diverse needs of our school community, including students, parents, and staff.

Administrative Support:Provide administrative support to the school, including managing phone calls, emails, and in-person inquiries, scheduling appointments, and maintaining organized records.

Technology Proficiency:Utilize various software and systems to manage school records, attendance, and other administrative tasks. Proficiency in Microsoft Office is required, and prior experience with PowerSchool is preferred.

Multitasking:Juggle multiple tasks and responsibilities simultaneously, such as answering phone calls, assisting with student inquiries, and managing administrative paperwork.

Student Records:Maintain accurate and up-to-date student records, including enrollment, attendance, and health records.

Parent and Staff Interaction:Interact professionally and courteously with parents, staff, and visitors, providing information and assistance as needed.

Emergency Procedures:Be prepared to handle emergency situations and ensure the safety and well-being of students and staff by following established protocols.

Assist with Special Events:Support school events, such as parent-teacher conferences, orientations, and school meetings.

Qualifications:

Fluent in both English and Spanish, with strong written and verbal communication skills in both languages.

Knowledge of technology and proficiency in Microsoft Office applications.

Prior experience with PowerSchool or other student information systems is preferred.

Strong organizational and multitasking skills with the ability to handle a wide variety of situations simultaneously.

Excellent customer service and interpersonal skills.

Professional and friendly demeanor.

Attention to detail and a high degree of accuracy.

Ability to maintain confidentiality regarding sensitive information.

Adaptability and willingness to learn and take on new tasks as required.

High school diploma or equivalent required; college degree or relevant administrative experience is a plus.
