Summary
We are seeking an Administrative Assistant/Scheduler to join our dynamic team at Steve’s Painting and Maintenance. In this role, you will play a vital part in ensuring smooth office operations and providing exceptional support to our staff and clients. Your contributions will directly impact our commitment to delivering high-quality service.
Responsibilities
Coordinate with internal departments and clients to gather scheduling data.
Develop, update, and maintain schedules for technicians.
Monitor deadlines and milestones, proactively identifying risks or delays.
Adjust schedules as needed due to changing priorities, resource availability, or unforeseen issues.
Communicate schedule changes promptly and clearly to all stakeholders.
Maintain accurate documentation and records of scheduling activities.
Manage daily administrative tasks to ensure efficient office operations.
Assist in scheduling appointments and coordinating meetings for management.
Maintain organized filing systems and manage documentation.
Handle incoming calls and correspondence with professionalism.
Support the team with clerical duties including data entry and report preparation.
Collaborate with other departments to facilitate communication and workflow.
Requirements
Proven experience as an administrative assistant or in a similar role.
Strong organizational skills with attention to detail.
Excellent verbal and written communication abilities.
Proficiency in office management software and basic computer skills (Microsoft Office)
Ability to multitask and prioritize tasks effectively.
Qualifications
High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
Proven experience in scheduling, project coordination, or administrative roles.
Proficiency in scheduling or project management software.
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Ability to multitask and work in a fast-paced environment.
Attention to detail and problem-solving skills.
Preferred Experience
Industry-specific knowledge Maintenance Services.
Familiarity with tools like Service Fusion.
