Kevin Gaines, CPA, LLC is a boutique tax accounting and consulting firm in Maitland focused on serving business and individual clients with both U.S. and International tax matters. We are seeking an Administrative Assistant to assist our growing team in servicing clients located around the world.
Job Description
Clerical and Administrative Support:
Answering phones, emails, and handling correspondence.
Scheduling appointments, meetings, and travel arrangements.
Organizing and maintaining files, both physical and digital.
Preparing and distributing documents, reports, and presentations.
Maintaining office supplies and equipment.
Accounting-Related Tasks:
Assisting with invoicing, billing, and accounts payable/receivable processes.
Reconciling statements and preparing reports.
Entering and updating financial data in accounting software.
Assisting with month-end and year-end closing procedures.
Client Support:
Greeting clients and providing a positive first impression.
Answering client inquiries and resolving issues.
Assisting with client onboarding and file management.
Other Duties:
Assisting with project management and tracking deadlines.
Supporting staff members with administrative tasks.
Developing and updating administrative systems to improve efficiency.
Qualifications
Strong organizational and time management skills.
Excellent communication skills (written and verbal).
Proficiency in Microsoft Office Suite.
Knowledge of basic accounting principles and procedures.
Attention to detail and accuracy.
Ability to work independently and as part of a team.
Experience with accounting software is a plus.
Job Types: Full-time, Part-time
Expected hours: 20 – 40 per week
