Business Office Associate Needed for Care Partners Office

The Business Office Associate is responsible for the day-to-day support of office operations, including telephonic and electronic communications, New Personnel payroll setup, weekly Payroll Processing, Accounts Payable, and correspondence. The Business Office Associate promotes smooth, expertly run office operations to achieve Care Partners At Home goals of customer satisfaction, quality agency services, excellent personnel performance, and positive financial outcomes.

RESPONSIBILITIES:

· Commitment to learning and demonstrating the Care Partners way:we will create deep, meaningful relationships with our clients, families, and associates through the qualities of Love, Empathy and Compassion.

· The Business Office Associate is responsible for the weekly reconciliation of client/caregiver schedules and draft review of the payroll register.

· When the Payroll register has been finalized, it is then exported to our payroll software iSolved where the final register is approved and processed. Home Care payroll is processed on a weekly basis.

· Monthly De Minimus and Cell Phone reimbursements to care personnel.

· The BOA is the last step of the new-hire onboarding process; Adds new personnel in iSolved by creating their payroll entity and assigning a Payroll ID. This Payroll ID is also entered in ClearCare to enable these software tools to integrate/communicate.

· The BOA is also the last step of the termination process; when an associate has been released, the final step is to deactivate them in iSolved.

· Oversees accounts payable processing and ensures maintenance of expenditure log.

· Communicate with personnel about payroll inquiries related to general questions, timekeeping, or errors.

· Responds to Associate inquiries regarding expense reimbursement, office systems, and related information.

· Work Cross-Functionally with departments. Understanding how other departments complete their day-to-day tasks and communicating effectively allows for a smoother reconciliation and payroll and billing process.

· Attention to detail and documentation within our software tools.

· Participates in and supports the agency’s performance improvement activities.

· Complies with all agency policies, and procedures.

· Maintains confidentiality of client, Associate, and agency operations.

· Promotes client, personnel, and office safety.

· Assists with the referral/intake process for clients needing agency services.

· Manages third-party insurance reporting (if required).

· Presents a professional appearance and promotes a positive work environment.

· Performs other duties as requested by the Business Office Manager to support client billing and office functions.

· Orients new personnel to company policies and procedures related to payroll or billing.

· Assists in the maintenance of up-to-date Associate files in compliance with all applicable licensure/certification/accreditation requirement and works with supervision to ensure timely submissions.

· Records Associate vacation/sick/personal day use. Verifies caregiver hours worked and resolves discrepancies.

QUALIFICATIONS:

· Must be at least 18 years old.

· Prefer at least 2 years of experience in a Business Operations or Billing role.
