Job Summary:
The Patricia White International and Dream Large Ministries are currently looking for a highly motivated individual, who can work to support the Ministries as an Administrative Support Assistant on a part-time basis. In this role, you will perform various administrative support duties while assisting the Ministries achieve their mission of spreading the gospel of hope and salvation, rooted in the finished work of Christ, and providing support for differently abled individuals.

This position works under the direction and supervision of the Patricia White Ministry Board President, who is also the President of Dream Large Ministries, Inc. The position provides administrative support to the Board President and as required Board members in the following areas:

Administrative Support 60%

Research, identify, and recommend potential funding opportunities (i.e., local, state, and government grants, donations, foundations, corporate donors, etc.) for the Ministry and Dream Large, Inc. (for differently able clients). Assist in determining that potential funding opportunities align with both Ministries mission and funding needs.

Assist the President in writing proposals and administering the funding source. Assist with drafting and editing final reports for funding proposals at the close of the funding period. Prepares and submits status updates and thank-you letters.

Routinely schedule, coordinate, and provide advance notification of monthly meetings to Board members. Arrange meeting space or arrange for remote meetings via Zoom or other video conferencing platform. Attend monthly Board meetings, record, transcribe, prepare, and submit meeting minutes within 48 hours of meeting. Distribute meeting minutes to all attendees or other individuals as directed by the President. Identify and track action items by individuals as required and follow up with individuals to ensure actions are completed in a timely manner. Remind Board members of action items and ensure all actions are completed or a status is provided in advance of the next Board meeting.

Develop flyers and other informational materials and send out correspondence advising on Ministries activities and providing notification of upcoming events.

Research, identify and purchase rewards and gifts for special functions. Prepares documents such as certificates or acknowledgements, as necessary.

Maintain and administer Ministries websites. Review websites on a regular basis to ensure that information is up to date and accurate and that any embedded links are working properly. Upload and remove materials from both websites as needed.

Design and develop decals and logos for Ministries documents and other formal communications.

Return calls on behalf of the President. Personally respond to request for information based on knowledge of the President’s Ministries goals and informs President of nature of calls and response or need for follow-up action.

Conference, Meetings and Special Event Support 40%

Support and arrange conference and special event logistics by researching and identifying venue options, conducting cost analysis, reserving space, setting specific dates and time, scheduling speakers, inviting, or notifying attendees and assist with developing agenda. Assists with gathering and assembly of conference materials.

Schedule meetings with outside clients and internal members. Arranges meeting space or arranges for remote meetings via Zoom or other video conferencing platform. Notify required individuals, assemble material to be discussed in meeting. Provide agenda and necessary background materials to attendees/participants and share topics to be discussed.

Attend special functions to support registration and provide other miscellaneous duties. Take pictures at various Ministries functions and select and upload pictures on the Ministries websites.

Use office automation software packages and equipment (i.e., Microsoft Office, Excel) to type, edit, and format documents.

Perform other related assignments as required.

The successful candidate should have:

● General computer skills. (Word processing, excel)

● Experience using social media outlets and managing social media accounts

Job Type: Part-time

Pay: $18.00 – $18.50 per hour

Expected hours: 10 – 15 per week
