Position Summary
The Ladder Method is seeking a highly organized, detail-oriented, and proactive Business Operations Associate to support the day-to-day operational functions of the organization. This role is essential to ensuring that internal processes run efficiently, client experiences remain exceptional, and cross-functional teams have the resources they need to succeed.

As a Business Operations Associate, you will work closely with leadership and teams across coaching, client services, finance, human resources, marketing, and administration to streamline workflows, coordinate projects, maintain accurate records, and support organizational growth.
Key Responsibilities
- Coordinate daily business operations to ensure efficient workflow across departments.
- Support operational initiatives that improve productivity, service quality, and organizational effectiveness.
- Assist with project planning, scheduling, and implementation while tracking deadlines and deliverables.
- Maintain accurate operational records, reports, databases, and documentation.
- Monitor key performance indicators and prepare regular operational reports for leadership.
- Assist with budget tracking, expense reporting, invoice processing, and vendor coordination.
- Collaborate with finance on administrative accounting tasks, including purchase tracking, billing support, and reconciliation preparation.
- Support client onboarding, scheduling coordination, and administrative processes that enhance the customer experience.
- Coordinate internal meetings, prepare agendas, document action items, and monitor project progress.
- Develop and maintain standard operating procedures (SOPs) and process documentation.
- Identify opportunities to improve workflows through automation and process optimization.
- Assist with procurement, vendor relationships, and office administration for remote operations.
- Support recruiting logistics, interview scheduling, onboarding coordination, and employee record management.
- Partner with marketing and communications teams to ensure operational alignment for company initiatives.
- Maintain confidentiality while handling sensitive company and employee information.
- Perform additional operational and administrative duties as assigned.
Required Qualifications
- Bachelor’s degree in Business Administration, Operations Management, Finance, Accounting, Communications, Management, or a related field.
- Two or more years of experience in business operations, project coordination, administration, client services, or a related role.
- Strong organizational and time-management skills with the ability to prioritize multiple projects simultaneously.
- Excellent verbal and written communication skills.
- Advanced attention to detail and commitment to accuracy.
- Strong analytical and problem-solving abilities.
- Proficiency with Microsoft Office Suite and Google Workspace.
- Experience using spreadsheets, reporting tools, and project management software.
- Ability to work independently while collaborating effectively within a remote team.
- Professional judgment and discretion when handling confidential information.
- Customer-focused mindset with exceptional interpersonal skills.
Preferred Qualifications
- Experience supporting education, coaching, healthcare, consulting, or professional services organizations.
- Knowledge of operational reporting and performance metrics.
- Familiarity with CRM platforms, scheduling software, and workflow automation tools.
- Experience with invoicing, bookkeeping support, or financial administration.
- Experience coordinating remote teams and virtual operations.
- Project management certification or equivalent operational experience is a plus.
- Experience using collaboration tools such as Slack, Zoom, Asana, Trello, Monday.com, or similar platforms.
