Position Summary

The Business Support Coordinator provides administrative, operational, and logistical support across multiple departments within a manufacturing environment. This role assists with shipping documentation, aerospace part handling, procurement coordination, and general administrative support for operations, sales, and accounting. The ideal candidate is detail-oriented, organized, and comfortable working in both office and shop environments.

Key Responsibilities

Shipping & Logistics

  • Prepare and process shipping documentation for aerospace and blow molding customers, ensuring compliance with customer and regulatory requirements.
  • Coordinate shipments with carriers and internal departments to ensure on-time delivery.
  • Maintain shipping records, certifications, and traceability documentation.
  • Assist with receiving incoming shipments and verifying packing slips against purchase orders.

Aerospace Parts Handling

  • Pack and unpack aerospace parts received from external processing or prepared for outbound processing.
  • Ensure proper packaging methods are followed to prevent damage and maintain part integrity.
  • Perform part marking and identification in accordance with aerospace specifications and internal procedures.
  • Maintain traceability of aerospace components and documentation throughout the process flow.

Administrative Support

  • Provide administrative support to the Plant Manager including document preparation, filing, reporting, and scheduling.
  • Assist the sales team with order documentation, customer files, and general administrative tasks.
  • Maintain organized records of production, shipping, and operational documents.
  • Support internal audits and quality documentation as required.

Procurement Support

  • Assist the procurement team with purchasing raw materials, hardware, shop supplies, and other operational items.
  • Create and track purchase orders and follow up with suppliers on delivery status.
  • Help maintain inventory levels of shop supplies and consumables.
  • Support vendor communication and documentation management.

Accounting Support

  • Assist the accounting department with accounts payable (AP) and accounts receivable (AR) tasks.
  • Help process invoices, verify purchase orders, and track payments.
  • Maintain financial records and support documentation as required.
  • Assist with data entry and reconciliation tasks.

Additional Responsibilities

  • Maintain accurate records in ERP or internal systems.
  • Support continuous improvement initiatives related to operations and administration.
  • Assist with document control and revision management.
  • Coordinate internal communication between departments when needed.
  • Perform other related administrative and operational duties as assigned.

Qualifications

  • High school diploma or equivalent required; post-secondary education in business administration, supply chain, or related field is an asset.
  • 2+ years of experience in manufacturing, logistics, administration, or a similar support role preferred.
  • Experience with shipping documentation and ERP systems is an asset.
  • Basic knowledge of purchasing and accounting processes is beneficial.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and work across departments.
  • Proficiency with Microsoft Office (Excel, Word, Outlook).

Working Conditions

  • Combination of office and light shop-floor work.
  • May require lifting and handling of small to medium sized aerospace components.
