FLSA Status:Full Time, Non-ExemptSupervised by:Director of Quality Assurance

Primary Responsibilities:Under the supervision of the Director of Quality Assurance (DQA), assist GHP case managers with creating electronic participant records, uploading applications and program documentation, processing rental assistance, conducting client satisfaction surveys, managing a document filing system and providing administrative support such as answering phones and entering data for grant monitoring and billing.

Essential Duties:

Creates new participant profiles in CaseWorthy and uploads applications and supporting documents, requests missing documents from referring agencies and notifies appropriate GHP staff of pending applications. Enrolls clients in programs indicated on application.

Scans and uploads program documents into electronic participant profiles, primarily CaseWorthy, HMIS and e2Hawaii within one (1) week of receiving documents, and manages a physical document filing system for documents.

Provides administrative support such as answering phones, emailing participants and partner agencies about upcoming program recertification, expiring required documents and special events.

Provides data entry support to case managers and the DQA for grant monitoring and billing, per funder requirements. Ensures that all participants receiving Ryan White-funded services have been, and are currently, certified for Ryan White services.

Assists case managers with the preparation, scanning, uploading, and mailing of client correspondence regarding recertification of documents, scheduling appointments, and more.

Assists case managers with monthly rent roll, including documenting check numbers, rent services and mailing checks to landlords.

Regularly volunteers at Save the FoodBasket, GHP’s food bank program.

Contacts rent subsidy program participants quarterly to touch base and ask if the participant’s rent and utility payments are current.

Conducts annual client satisfaction surveys for all GHP programs.

Assists with preparation of data reports, monitoring by funders and program audits.

· Maintain good working relations with other agencies and persons providing services to people with HIV infection.

Other Duties:

Assist executive staff in their duties, as requested.

Working Conditions:Indoors, air-conditioned rooms

Work Hours:Monday – Friday, 9:00 a.m. – 5:00 p.m.

Equipment Use:Standard office equipment

Physical, Mental, and Communication Demands:Requires use of discretion and judgment; requires working to established procedures, maintaining reliable work attendance; may require working under minimal supervision; requires verbal communication skills and following oral and written instructions.

Skills/Knowledge:Strong PC computer skills, including relevant experience with Microsoft Office required. High level of attention to detail and accuracy.

Education/Experience:At least 3 years of experience working with database systems, preferably working with healthcare and housing issues. Associates degree preferred.
