About the Role:
NOVA Commercial Interiors, Inc. is seeking a detail-oriented, proactive Administrative Assistant to the Project Management Team to support our commercial interior construction operations. This role plays a key behind-the-scenes part in ensuring projects run smoothly by assisting with scheduling, communication, and day-to-day project administration. Ideal for someone with construction office experience who thrives in a fast-paced, team-oriented environment and enjoys keeping things organized, efficient, and on track.

Key Responsibilities:
Provide administrative support to project managers and superintendents throughout the project lifecycle
Manage and maintain project documentation, files, and digital records
Assist with procurement, material tracking, and delivery coordination
Help prepare reports, job logs, meeting notes, and project status updates
Support communication between office staff, field crews, vendors, and clients
Assist with permitting, insurance certificates, job setup, and closeout packages
Coordinate with subcontractors and suppliers to ensure timely flow of information and materials
Monitor project deadlines and follow up on outstanding items to keep tasks on schedule
Maintain updated logs for RFIs, submittals, and change orders
Help enforce safety documentation compliance and company procedures
Qualifications:
2+ years of administrative support experience in a construction or project coordination environment
Familiarity with commercial construction, tenant improvement projects, or field-office workflows preferred
Comfortable reading project schedules, basic blueprints, and construction documentation
Strong knowledge of Microsoft Office; experience with Procore, PlanGrid, or similar tools a plus
Excellent communication, multitasking, and follow-up skills
Highly organized with attention to detail and a proactive mindset
Valid driver’s license (for occasional job site visits)

Full-time, Monday through Friday, in-office with occasional site visits as needed
