Business Administrative Associate – Business Operations (Hybrid)

Job Summary

Under the general supervision of a designated coordinator, independently perform a variety of complex technical and functional duties in University Payables. Work is performed in an office setting and is sedentary for the most part. No unusual physical exertion required. Incumbent is expected to at all times observe standards of professional conduct and strive for excellence in customer service including, but not limited to: accepting accountability and ownership of actions; adaptability in accepting new challenges and responsibilities; focusing on customer needs and prompt, accurate resolution of customer issues; exhibiting professional, quality, value added communications skills; working collaboratively with customers, employees and units in the best interests of the University of Illinois.

Duties & Responsibilities

Under the supervision of the Coordinator, assist with conducting and managing the accounting activities of the department. Including but not limited to managing unit expenses and ledger entries, managing unit’s fixed assets, and managing, overseeing, and reconciling cash advance records.
In conjunction with the Coordinator, manage human resources operations within University Payables. Including but not limited to employee onboarding, equipment assignments, and overview of employee handbook.
Assist Senior Coordinator of Outreach, Education, and Communication. Including but not limited to serving as their back up for the iTravel system, coordinating and conducting iTravel training, assisting with review of Illinois Higher Education Travel Control Board (IHETCB) reporting, and providing support for other Payables training efforts.
Maintain a professional working relationship with university units on all campuses by serving as a subject matter expert and liaison between campus customers and University Payables to promote understanding of accounts payable policies and procedures. Identify University customers that may need special assistance and assist in problem resolution for customers.
Actively participate in identifying, developing, and, with appropriate approval and direction, implementing strategies for process and efficiency improvements related to Accounts Payable. Contribute to the development of written procedures for both internal and external training needs. Participate in the formulation and implementation of policies/procedures related to Accounts Payables functions.
Perform other duties appropriate for a Business/Administrative Associate classification, such as representing University Payables in cross-functional meetings and/or serving on various committees. Actively participate in and contribute to University Payables meetings and activities.

Minimum Qualifications

1. Bachelor’s degree in business administration, management, or a field related to the position.

2. Two (2) years of professional business, financial, and/or managerial work experience.

(NOTE: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)

Preferred Qualifications

Preferred:
1. Certified Accounts Payable Associate (CAPA) Certification from the Institute of Financial Operations or equivalent.

Knowledge, Skills and Abilities

Comprehensive knowledge of generally accepted centralized University accounting principles, accounts payable best practices, and payments to foreign individuals. Familiarity with the Business and Financial Policies and Procedures Manual of the University of Illinois, and State of Illinois and University procurement statutes, regulations and procedures.
Excellent organizational, communication and management skills. Interpersonal skills that reflect courtesy, diplomacy, and a collaborative approach to develop and maintain effective work relationships.
Proficiency with Microsoft Outlook, Word, Excel, and One Note; prefer experience with Banner Finance, Banner Document Management (BDM), iBuy, T-Card and Chrome River applications.
Ability to work independently and exercise good judgment and discretion in the performance of all work assignments. Ability and willingness to perform at consistently high levels and to demonstrate initiative in the performance of duties.

Appointment Information

This is a 100% full-time Civil Service 5010 – Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible. The budgeted salary range for the position is $49,000 to $51,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.
