Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our President and Vice President. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of our office and supporting our leadership in achieving their goals.

Responsibilities

Provide executive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Answer and manage phone systems, directing calls as necessary and ensuring timely responses.
Prepare and transcribe meeting minutes, ensuring accurate documentation of discussions and action items.
Organize and maintain files, both physical and digital, ensuring easy retrieval of information.
Utilize Google Suite for document creation, data management, and collaboration with team members.
Manage DocuSign processes for electronic signatures on important documents.
Assist with special projects as needed, demonstrating flexibility and adaptability in a fast-paced environment.
Assist with writing contracts and rate schedules.
Ensuring DOT and PUC compliance and fillings are up to date.
Assist with reviewing resumes and onboarding new hires.
Purchasing and shipping supplies to our facilities as needed.
Support with booking trade shows and conferences.
Support with onboarding new customers.

Qualifications

Experience in Transportaion and Logistics preferred but willing to train ambitious recent college graduates.
Strong organizational skills with the ability to prioritize tasks effectively.
Proficiency in Google Suite applications (Docs, Sheets, Slides) is essential.
Proficient in Excel and data analysis is a must.
Excellent written and verbal communication skills are required.
Ability to maintain confidentiality and exercise discretion when handling sensitive information.
A proactive approach to problem-solving with strong decision-making capabilities.
Must be available from 9-5 PST regardless of where you reside.
