HPD is entrusted with fulfilling these objectives through the goals and strategies of Housing Our Neighbors: A Blueprint for Housing and Homelessness, Mayor Adams’ comprehensive housing framework. To support this important work, the administration has committed $5 billion in new capital funding, bringing the 10-year planned investment in housing to $22 billion the largest in the city’s history. This investment, coupled with a commitment to reduce administrative and regulatory barriers, is a multi-pronged strategy to tackle New York City’s complex housing crisis, by addressing homelessness and housing instability, promoting economic stability and mobility, increasing homeownership opportunities, improving health and safety, and increasing opportunities for equitable growth.

Your Team:

The Office of Government Affairs works with city, state, and federal officials, agencies, policy makers, advocates and planners in the public and private sectors to assess housing policy, land use and planning issues, and manage the City’s affordable housing legislative agenda.

Your Impact:

The Executive Assistant independently manages and provides day-to-day operational and administrative support for the Division of Government Affairs. The position interfaces with all parts of the Agency as well as serves as the primary point of contact for the offices of elected officials, community groups, affordable housing partners, other governmental agencies, and the public on all matters pertaining to the Government Affairs Division.

Your Role:

The Executive Assistant fields a wide range of issues and concerns from elected officials and their constituents, ensuring that each one is logged, prioritized, researched, and responded to in a timely and thorough manner. The Executive Assistant supports the administrative needs of the Division, including scheduling meetings and events for the Government Affairs team, developing and maintaining various files, protocols and systems, and preparing and distributing meeting materials. As a member of the Government Affairs team, the Executive Assistant manages a variety of special projects and other related duties as needed.

Your Responsibilities:

Under the direction of the Assistant Commissioner of Government Affairs, the selected candidate will be responsible for the following duties:

Supporting all administrative needs of the Assistant Commissioner and the Government Affairs team, including scheduling meetings and events for the team.
Track and respond to constituent inquiries from elected officials, external partners, and the public, ensuring that each inquiry is logged, prioritized, researched, and responded to in a timely and thorough manner.
Providing assistance in the preparation and distribution of meeting materials.
Drafting and preparing correspondence and emails as directed by the Assistant Commissioner and the Government Affairs team.
Creating, organizing and managing paper and electronic files for the Assistant Commissioner and the Government Affairs team.
Coordinating and executing special events, meetings and programs, and managing the scheduling of meeting spaces.
Ordering and maintaining office supplies and equipment.
Handling travel arrangements, preparing and processing travel and expense reports for the Assistant Commissioner and the Government Affairs team.
Support the Government Affairs team in preparation for legislative hearings and housing events.
Responsible for special projects assigned by the Assistant Commissioner as needed.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one year of experience as described in “1” above.

Preferred Skills

– 5+ years of experience working with senior management with a preference for someone with some experience in intergovernmental affairs. – Excellent verbal and written communication skills including editing and proofreading skills. – Strong interpersonal and organizational skills with strong attention to detail. – Strong time management skills with demonstrated ability to meet deadlines and manage multiple complex tasks. – Strong customer service orientation with an ability to deal professionally and tactfully with all levels of staff and external partners. – Intermediate or above level proficiency in Google products, as well as Microsoft Word, Excel, PowerPoint.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
