Position Overview:

We are seeking a full-time (32-40 hours per week) Administrative Assistant to join our team. This role is crucial in providing front desk support, administrative assistance, and marketing support to our agents and clients. You will be the first point of contact for our office, ensuring a welcoming and efficient environment.

Responsibilities:

Marketing Support:

Assist with general marketing activities for the business.
Manage and update social media platforms (Facebook, Instagram, Pinterest – familiarity preferred).
Utilize design tools such as Canva to create marketing materials.
Familiarity with CRM and email marketing platforms (HubSpot, Mailchimp, Wise Pelican) is a plus.

Administrative Support:

Organize and manage transaction paperwork, ensuring accuracy and compliance.
Assist agents with office equipment (copiers, printers, binding equipment, etc.).
Enter and edit new/existing listings in the MLS (Multiple Listing Service).
Manage and prioritize multiple tasks and projects concurrently.
Binding of books and creation of marketing materials.
Act as the main point of contact for agents.

Front Desk & Client Service:

Greet agents, clients, and guests with a warm and professional demeanor.
Answer and direct phone calls, take messages, and manage incoming correspondence.
Attend to associate questions and requests, providing timely and accurate follow-up.
Maintain a clean and organized reception area, resource rooms, and conference rooms.

Qualifications:

Proven experience in an administrative role, preferably in a real estate or similar industry.
Strong computer skills, including proficiency in Microsoft Office 365 (Outlook, Teams, Excel).
Excellent oral and written communication skills.
Exceptional attention to detail and organizational abilities.
Self-motivated with a strong willingness to learn and adapt.
Ability to prioritize and manage multiple tasks effectively.
Excellent customer service experience.
Quick learning style and ability to multitask in a fast-paced environment.
Demonstrated ability to deliver consistent, reliable, and timely performance.
Team player with a positive attitude.
Social media skills are a plus.

Pay: $22 – $25 per hour
