Position Summary:

The Benedictine College School of Orthopedic Medicine seeks a highly organized and detail-oriented Administrative Assistant to provide high-level administrative support to the Dean, faculty, and staff. This role will support the accreditation process, coordinate and plan travel for faculty and staff, and ensure smooth daily operations. The ideal candidate will be experienced in medical or hospital administration, possess strong writing and editing skills, and manage schedules, communications, and records to support the school’s mission and objectives.

Essential Functions:

Provide administrative support to the Dean and faculty, including scheduling meetings, calendar management, managing correspondence, and preparing documents.
Assist the administration and faculty in preparing and submitting documents related to the accreditation process.
Plan and coordinate travel arrangements for faculty, staff, and visiting professionals, ensuring all logistics are handled efficiently and in compliance with institutional policies.
Serve as a point of contact for internal and external stakeholders, including students, faculty, staff, and community partners.
Assist in coordinating events, meetings, and special projects for the School of Osteopathic Medicine.
Maintain accurate records, databases, and filing systems, ensuring confidentiality and compliance with college policies.
Prepare reports, presentations, and other documents as needed.
Process invoices, reimbursements, and budget-related documentation.
Manage office supplies and ensure the smooth operation of office equipment.
Assist with academic scheduling, student inquiries, and faculty support services.
Draft, edit, and proofread documents, emails, and reports to ensure clear and professional communication.
Handle sensitive information related to the accreditation process and school operations with a high degree of confidentiality and professionalism.
Perform other duties as assigned by the Dean to support the overall mission of the school.
Requirements:

Position Qualifications:

Experience:

At least 2 years of administrative support experience, preferably in a medical or educational environment.
Familiarity with medical school or hospital administration is a significant plus.
Previous experience with accreditation processes is a bonus.

Skills & Abilities:

Strong organizational and time management skills.
Ability to manage multiple tasks and deadlines in a fast-paced environment.
Exceptional written and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with various platforms is a plus (e.g., Smartsheet, Survey Monkey, Tableau, etc.)
Ability to plan and coordinate complex travel arrangements.

Writing Skills:

Ability to write and edit at a professional level.
A writing evaluation may be conducted for finalists to assess writing proficiency.

Education and Experience:

Required: High school diploma or equivalent.
Preferred: Associate degree or higher in business administration, healthcare administration, or a related field.
Experience: Minimum of 2 years of administrative or office support experience, preferably in an academic, medical, or healthcare setting.
