Clinical Administrative Assistant
Position Summary:
The Clinical Administrative Assistant will provide administrative support to ensure efficient operation of the clinical administrative office for our ABA agency. Our Clinical Administrative Assistant. carries out duties such as insurance verifications, report submissions to insurance, onboarding new clients, answering phone, setting up meetings, and filing under supervision of the Directors. This person will assist other areas of the Admin department such as HR, Payroll, and Scheduling as needed.
Qualifications and Skills:
Some Administrative / Office experience required
Experience with record-retention and filing preferred
Bilingual is preferred (Spanish)
Proficiency in Microsoft Office and Google Workspace
Existing knowledge of HIPAA policies and procedures
Must pass background check
Availability to work within hours of operation: 8a-7p Mon-Friday and Sat 8-2:30pm
Must be willing to travel between different job sites within the Bakersfield/Wasco area
Energetic and coachable person
Strong communication skills (written and verbal)
Ability to think critically and work independently
Detail oriented, organized, and able to multi-task with ease
Ability to accept constructive feedback
Positive and friendly team player
Responsibilities:
Manage high volume of incoming phone calls
Answer questions, give guidance, and manage incoming communication from current and potential clients’ families
Coordinate and schedule appointments/follow-ups for potential clients based on referrals or new authorizations
Use Homebase efficiently to send and reply to messages
Utilize email to communicate with staff, supervisors, admin, and other paraprofessionals as necessary
Assist with monthly inventory purchases, assigned monthly bills, assist with quick books
Assist Directors with inventory maintenance and tracking
Run various errands (i.e. quick purchases, dropping off/picking up mail, post office runs, etc.)
Verify insurance benefits, notify/inform clients of plan details and accumulations
Assist with uploading/submitting insurance documentation efficiently and on time
Collaborate with HR for any needed documents or information from incoming employees
Assist HR by regularly updating tracking systems and records when needed
Sends emails, faxes, and distributes mail as necessary
Assist with filing for Clinical, Directors, and Admin team
Provide tour of centers and answer questions as necessary
Welcomes and provides general support to clients, visitors and candidates
Support with coordination and setup of activities/events/trainings
Support with schedule of activities/events/trainings as necessary
Support with cleaning/office maintenance tasks when necessary
Assist HR Administrator with various tasks as assigned
Assist with other administrative tasks as it relates to job duties
Send emails and faxes to Social Security with client records
May cover up to 20 hours a week of scheduled direct therapy
