JOB SUMMARY:
The Administrative Assistant provides administrative support to ensure efficient operation of the Mission Services Department. The primary focus will be to enter and manage information in case management databases management and ensure data reporting is in compliance with all the major reporting agencies/entities.
JOB FUNCTIONS AND RESPONSIBILITIES:
Enter all data into Salesforce and Government Entities when required by Federal Grant awards (including but not limited to, HAPID, Grantsolutions, grants.gov)
Coordinate with various department heads to collect and enter necessary data into different databases; also providing quality assurance regarding the entering of accurate data.
Evaluate prospective client inquiries and phone calls, analyze their case, and enter case notes into our client management system.
Conduct phone interviews with clients to obtain information required to determine eligibility and best fit for array of services.
Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Assist with daily operations of the low vison store, including sales, customer service and maintenance. Assist with participant supply packaging and coordinate delivery.
Assist in compliance audits and prepare reports to recommend corrective action plan.
Ensure program area is clean and organized. Schedule facilities support as needed.
Assume additional responsibilities as assigned.

EDUCATION/EXPERIENCE:
High School Diploma or equivalent.
Three years of experience in administrative support, customer service, or data collection role.
Strong analytical skills.
Technical skills: Proficiency utilizing Microsoft programs such as Outlook, Word, Excel and MS Teams.
Inventory control and retail experience preferred.
SKILLS/ABILITIES:
Attention to detail, strong organizational skills and focus on quality.
Knowledge of Government Databases
Knowledge of grant reporting; specifically Federal Grant Reporting
Knowledge of legal and ethical guidelines for data collection and analysis is crucial for a data collector.
Efficiency using cloud-based storage and collaborations platforms, such as OneDrive.
Bilingual English/Spanish, preferred
