Position Summary:
The Academic Advising Administrative Assistant ensures efficient operations and provides frontline support for students, faculty, staff, and the community. Key duties include managing front-desk activities, scheduling appointments, supporting events, processing financial transactions, coordinating travel logistics, and maintaining departmental materials and communications. This role also assists with hiring and onboarding new department staff, and supporting related services like Personal Counseling and the Student Resource Center. The ideal candidate excels in organization, multitasking, and creating a welcoming environment.

Essential Job Duties and Responsibilities:
Serve as front line contact for Academic Advising serving students, faculty/staff, and community members via in-person, phone, email, and text message interactions.

Primary point of contact for front-desk advising triage including: appointment scheduling, checking students in for appointments or drop-in advising, referring students to other campus resources as needed

Secondary support for Personal Counseling and Student Resource Center (SRC) front-desk assistance, including checking in students for appointments and helping students in crisis connect with a personal counselor or appropriate resources.

Provide event support including planning, scheduling rooms, equipment, catering, vendors, and overall logistics for department events and activities.

Support group advising events, such as New Student Orientation, by managing rosters, preparing individualized student advising materials, and communicating event details and instructions to students.

Process, document, and organize all department financial data including contracts, requisitions, purchasing card receipts, purchase orders, transfers, reimbursements, deposits and more. Maintain detailed records of transactions.

Administer all aspects of individual and group conference travel for department staff. Develop timelines/budget estimates, complete advanced reservations/payments for activities, dining, conferences, hotels and transportation. Reconcile and audit receipts in accordance with the Conference Travel procedure.

Assist with the hiring, interviewing, scheduling, and training of work-study student employees.

Assist with new full-time/part-time employee interview scheduling, training scheduling, and onboarding tasks

Coordinate, inventory, and order office supplies, materials, and publications for department

Maintain up-to-date promotional signage, informational materials, websites/social media, and online forms.

Minimum Qualifications:
Minimum Required Knowledge, Skills and Abilities:
High School Diploma or GED and 3 years relevant work experience and 24 credit hours in related coursework or the equivalent combination of education and work experience.

Demonstrated proficiency in Microsoft Office programs including Word, Excel, Outlook, PowerPoint, and letter composition.

Demonstrated ability to work efficiently in an environment with interruptions and fluctuating workloads, while executing instructions accurately utilizing strong administrative, organizational, and prioritization skills.

Exceptional customer service skills, including interpersonal and active listening abilities, excellent phone and email etiquette, and critical thinking to engage effectively with diverse groups in various situations. Strong ability to communicate clearly and concisely with tact and diplomacy in oral and written communications, including handling sensitive conversations about academic success and financial matters.

Associate degree or active progress towards earning an associate degree.

Experience with enterprise-level higher educational software systems, such as Banner, LMS, CRM systems

Experience working in a higher education setting.
