Who We Are:
Emergency Support Services, LLC is a small, family-owned business headquartered in Phoenix, with multiple locations in Arizona, Idaho & California. As a company, we provide support services to government entities, primarily focusing on wild-land forest fire suppression efforts. We utilize a large variety of equipment, and the timely delivery and reliability of this equipment is imperative to aiding these natural disasters. What is the job?
The AAC position will interface between field and office staff to manage the billing & invoicing process for a wildfire incident. The position will involve coordination between company staff & incident staff to insure that all equipment and services provided are billed and invoiced. This job will consist of some leadership skills needed to develop a deep understanding of the incident life cycle to ensure paperwork has been completed by on-site staff, this position is not data-entry. You will review employee time clock entries, and ensure billing includes all services rendered. This job will include various additional administrative tasks related to staff expenses, travel, etc.
What are the details?
Organize resources, information and time lines
Create Shift Tickets for the equipment to be delivered to and picked up from an incident
Keep internal tracking boards updated for all fire activity
Daily check in with Site Supervisor on the fires for activity updates
Understand and create invoices utilizing required documents
Ensuring the invoices are received and are being prepped for payment submission
Follow up and collection of any unpaid invoices
Manage & approve timecards
Manage expenses & book travel
