ABOUT THE ROLE:
We are looking for an Estimator & Contracts Administrator who will be responsible for managing and supporting the estimation department across all contracts and projects and will be reporting to the General Manager (GM). This role involves generating tender submissions, gathering data from project documentation, and estimating costs for labor and materials to ensure agreed outcomes are met. The Estimator will also review previous tenders for value management opportunities, submit tenders, and foster strong client relationships with both existing and new customers and suppliers.
You will play a key role in ensuring projects are estimated accurately, efficiently, and commercially viable. This position is integral to achieving sustainable profits while satisfying both company and client objectives.
WHAT YOU'LL BE WORKING ON:
- Draft scopes of work, procure quotes from subcontractors, and help finalize head contracts and purchase orders.
- Lead the gathering of data from project-specific documentation and develop cost estimates to ensure sustainable profits and client satisfaction.
- Schedule and manage all tender requests in advance to maximize resource efficiency.
- Ensure accurate material and labor take-offs to maintain estimation accuracy.
- Liaise with the Operations Department to ensure tender allowances are commercially viable.
- Consolidate and expand a core supplier base to meet project and business growth requirements.
- Ensure the estimation department has effective tools and systems to produce successful tenders.
- Follow up on all submitted tenders to ensure receipt, appropriateness, and maximize conversion to orders.
- Ensure compliance with specifications, industry standards, and applicable laws (safety, environmental, etc.).
- Report non-compliance issues to the GM and clients as necessary.
- Liaise with Operations to ensure clarity on scope, inclusions, specifications, and methodologies for project execution.
- Managing and submitting variations during the project, track cost, and certify progress claims to protect profit margins
- Ensure all parties are adhering to legal and contractual requirements, and responding to RFIs
- Ensure subcontractors and suppliers are competent in service delivery.
- Manage multiple tenders across various clients while prioritizing effectively.
- Alert the GM to any subcontractor, supplier, or submission issues affecting project timelines.
- Complete daily tender admin tasks and ensure accurate time and margin tracking.
- Maintain subcontractor and supplier white/blacklists, ensuring required documentation is up-to-date.
- Oversee the issuance of the practical completion, handle final account settlements.
WHAT WE'RE LOOKING FOR:
- Minimum of 2 years of experience as an Estimator in the construction industry.
- Strong understanding of demolition and or construction processes, materials, and cost estimation.
- Familiarity with residential and commercial sector projects.
- Experience in identifying and mitigating risks associated with project deliverables.
- Strong attention to detail and accuracy.
- Effective communication and negotiation abilities.
- Proficient with Microsoft products and estimation tools such as Job Management System, Take-off Software (e.g., Groundplan, Ascora, Microsoft Excel, and EstimateOne).
- Well-rounded commercial mindset and an eye for profit opportunities.
- Experience managing contractual relationships and scope identification.
- Strong influencing and negotiation skills, capable of converting tenders into orders.
- Ability to prioritize tasks and meet deadlines while ensuring quality and budgetary targets are achieved.
- Well-developed knowledge of competitive market pricing, techniques, and trends.
