We are currently seeking a Corporate Services Office Admin to join our team on a part-time basis (28–32 hours per week). In this role, you will work alongside the Front Office team and be responsible for supporting our international office in Amsterdam.

Your Responsibilities

Front Office, Administration, and Facilities

  • Manage the front-of-house function, ensuring a high standard of service for employees and visitors at all times
  • Perform front office duties, including greeting visitors, answering phone calls and emails, reserving parking spaces, and handling packages
  • Manage stationery and consumables stock, ensuring regular stock checks and timely reordering
  • Maintain and update office administration manuals, policies, and guidelines to improve efficiency
  • Process purchase orders and invoices in line with company procedures and timelines
  • Coordinate subcontractors, external vendors, and building management services (e.g., confidential shredding, window cleaning, office cleaning, maintenance)
  • Support general facilities needs and maintain a safe, tidy, and welcoming office environment

Culture, Service, and Safety

  • Identify and help drive initiatives that strengthen ADM’s on-site culture
  • Support internal communication to colleagues as needed
  • Organize and support key on-site (social) events, such as global initiatives, town halls, and celebrations
  • Partner closely with HR to manage access badge distribution and ensure timely reporting of any deviations to maintain security
  • Participate in the BHV team, prioritizing health and safety
  • Ensure compliance with office policies and procedures (e.g., clear desk policy, safety/BHV)
  • Identify and suggest opportunities for process and office management improvements

Team and Management Support

  • Provide administrative and operational support to the local management team, including event coordination as required
  • Collaborate closely with the Office Manager to deliver a high standard of professionalism and service
  • Maintain an optimal floor plan and workplace utilization in coordination with local leadership

Your Profile

  • 3+ years of experience in office administration, front office, or a PA role within a professional environment
  • Proficiency in Dutch and English (written and spoken)
  • Strong service orientation and customer focus
  • Excellent communication skills and a collaborative mindset
  • Friendly, welcoming, and professional attitude — acting as the face of the company for visitors and colleagues
  • Flexible, proactive, and positive “can-do” mentality
  • Demonstrates ownership of the workplace with a continuous improvement mindset
  • Self-starter who works independently and takes initiative
  • Committed to fostering inclusion, diversity, and engagement
  • Strong IT skills, including Microsoft Office, and the ability to quickly learn new systems
  • Eager to contribute to continuous learning and team development
