This role provides high-level, confidential administrative and analytical support to the CEO. It involves frequent interaction with elected officials, board members, and the public, requiring professionalism, discretion, and independent judgment. The position also serves as the agency’s Public Records and Public Meetings Officer, ensuring compliance with all relevant laws.
Key Responsibilities
Manage CEO’s calendar, meetings, communications, and travel arrangements.
Prepare reports, correspondence, and board materials; coordinate logistics for board meetings and confirm quorum.
Attend board meetings, take and transcribe minutes, and follow up on action items.
Process invoices and assign costs to appropriate accounts.
Serve as the Public Records and Public Meetings Officer; ensure compliance with applicable laws.
Conduct research, prepare reports, and support special projects.
Maintain and update agency website content, including public notices.
Track project deadlines, maintain organized records, and lead or support cross-functional projects.
Act as the CEO’s gatekeeper for visitors and calls; prioritize communications.
Qualifications
Bachelor’s Degree required.
At least 4 years of senior-level administrative support experience, preferably in government or public administration.
Strong verbal/written communication and organizational skills.
Ability to work independently, manage multiple priorities, and maintain confidentiality.
Proficient in Microsoft Office Suite; Canva experience preferred.
Public housing experience is a plus.
Job Type: Full-time
Pay: $25.00 – $27.00 per hour
Expected hours: 40 per week
