CUSTOMER RELATIONS EXECUTIVE & OFFICE ADMINISTRATION

About the Job

Eurokars Group Indonesia is seeking a proactive, service-oriented, and highly organized Customer Relations Executive & Office Administration to support the Luxury Brands Division.

This role provides operational support to both the Marketing & Communications function and the General Manager, playing a key role in delivering exceptional customer experiences, maintaining effective customer relationship management, supporting marketing initiatives and events, and ensuring efficient day-to-day administrative operations.

The position is responsible for three key functional areas:

  • Office Administration / Personal Assistant to the General Manager
  • Customer Relations
  • Marketing Support

This role contributes to delivering a premium customer experience while supporting the efficiency and effectiveness of business operations across Eurokars Group Indonesia's luxury automotive brands.

Key Responsibilities

Office Administration / Personal Assistant to the General Manager

  • Provide administrative support to the General Manager, ensuring the efficient day-to-day management of schedules and priorities.
  • Manage the General Manager's calendar, including appointments, meetings, and coordination with internal and external stakeholders.
  • Coordinate domestic and international business travel arrangements, including travel requests, flight and hotel bookings, ground transportation, visa applications (where applicable), and travel itineraries.
  • Prepare and process travel claims, expense reimbursements, and supporting documentation in accordance with company policies.
  • Assist in preparing correspondence, presentations, reports, meeting materials, and other business documents as required.
  • Maintain organized filing systems, confidential records, and company documentation.
  • Monitor administrative approvals, document submissions, and other matters requiring the General Manager's review or endorsement.
  • Liaise with internal departments and external business partners to facilitate effective communication and administrative coordination on behalf of the General Manager.
  • Perform other administrative duties and ad-hoc assignments as directed by the General Manager.

Customer Relations

  • Maintain accurate customer records and ensure data quality within the CRM system
  • Support CRM campaigns, customer communications, and database maintenance.
  • Assist the Sales and Marketing teams with lead administration and customer engagement activities.
  • Support customer satisfaction initiatives while maintaining the premium service standards of the Luxury Brands Division.
  • Welcome showroom visitors, ensuring a warm, professional, and personalized customer experience.
  • Manage incoming telephone enquiries and direct customers to the appropriate department.
  • Coordinate visitor hospitality, including refreshments and lounge readiness to ensure a premium showroom experience.

Marketing Support

  • Support the execution of marketing campaigns and brand activities across the Luxury Brands Division.
  • Coordinate logistics for customer events, product launches, exhibitions, test drive programs, and affinity partnership activities.
  • Assist in preparing marketing materials and event documentation.
  • Coordinate marketing collateral and inventory management.
  • Support content coordination for social media and digital marketing activities.
  • Provide operational support for marketing projects and perform other duties as assigned by the Marketing & Communications Associate Manager.

Candidate Requirements

Education

  • Bachelor’s degree in marketing, Communications, Business Administration, Hospitality, Public Relations, or a related field.

Experience

  • Minimum 2 years of experience in Customer Relations, Marketing, Office Administration, Executive Assistance, Hospitality, or a similar role.
  • Experience in the luxury automotive, hospitality, luxury retail, or premium lifestyle industry will be an advantage.

Skills & Competencies

  • Excellent interpersonal and communication skills in both English and Bahasa Indonesia.
  • Strong organizational, coordination, and time management skills.
  • High attention to detail with the ability to manage multiple priorities.
  • Professional appearance and customer-oriented mindset.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Experience with CRM systems is an advantage.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Proactive, adaptable, and able to work independently as well as collaboratively across departments.
