Required Education:
High school graduation or equivalent is required.
Required Experience:
Two (2) years of general office experience performing the full range of office support duties with extensive public contact and experience with non-native speakers of English.
Experience with budgets and project management
Bilingual language skills in English and a world language.

Position Purpose:
The purpose of this position is to provide support to the International Programs retention administrative processes and provide student services for prospective, new and continuing students in student housing and other admin related areas.
Essential Functions:
Front Office & Daily Program Operations
Assist and support the daily workflow in the front office of the department.
Greet students, staff, and visitors in a welcoming and professional manner.
Respond promptly to phone and email inquiries with timely and accurate communication.
Promptly answer phones and provide referrals as necessary.
Understand, articulate, and apply department policies, procedures, and philosophies.
Create, maintain, educate, and enforce operations manuals and procedural guidelines.
Assist with orienting students, faculty, staff, and the public in the use of departmental databases and electronic systems, including uploading documents and updating information.
Properly refer students to project specialists, coordinators, and other staff, as well as campus and community resources.
Clerical, Data & Administrative Support
Provide general clerical assistance using office equipment, technologies, and file management systems.
Input, process, and analyze data (in coordination with supervisor) using tools such as Banner, Excel, and Google Suite, ensuring accuracy and integrity.
Provide administrative and retention support utilizing office-specific software such as TargetX and Banner, while demonstrating adaptability to software changes.
Support retention team processes and student inquiries using clear verbal communication and timely, well-written responses.
Respond to student account inquiries and monitor the department’s Admin inbox to ensure timely and accurate communication.
Support orientation, creating presentation folder, sending reminders, help with data tracking and update in systems and the team accordingly.
Support arrival activities as needed.
Assist supervisor with liability account tracking and student balances.
Create accounting reports for student payments and housing reconciliation.
Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students.
Process refund payments and manage the deposit account and student account records.
Collect and organize agency referral fee information, including communication and documentation gathered via Gmail.
Other duties as assigned.

Establish and maintain effective working relationships with supervisor, lead workers, co-specialists, and departmental staff.

Supervision Statement:
Reports to and works under the general supervision of the Director of International Programs. Work is performed independently according to College and department policies. The supervisor is available to consult on problems and policy decisions. Work is reviewed for the quantity and quality of work provided to the department.
Physical Demands/Working Environment:
This position works indoors and is exposed to usual office working conditions that include office noises and interruptions, such as printers, telephones, and visitors. This position requires that an employee is able to sit or stand for extended periods of time; perform cognitive and psychometric work for more than six (6) hours a day. Work may require transporting materials up to twenty-five (25) pounds. Work Safely.

Office procedures, with emphasis on organizing workflow and word-processing and administrative procedures.
Microsoft Applications, especially Word, Excel, Google docs, SARS and enterprise-wide database software.
Arithmetic computations; skill in composition, grammar, spelling and editing.

Operate office equipment including computer, copier, fax, calculator and printer.
Communicate effectively with nonnative speakers with varying levels of English capability.
Maintain a welcoming atmosphere at front desk.
Assess students’ needs and correctly refer them.
Learn and appropriately apply college and department policies and procedures.
Type accurately and rapidly.
Interact with students, staff and the public from a range of countries and cultures in a pleasant, tactful and courteous manner.
Work under pressure and with interruptions while paying attention to detail.
Prioritize tasks and take initiative, and work independently.

Transport boxes of materials or supplies weighing up to 25 pounds; Ability to work safely.
Provide support to employees working to meet accreditation standards through evaluation and assessment of student outcomes.
