A well-established wholesale distributor in Brooklyn, NY is seeking a detail-oriented and proactive Administrative Support Specialist to join our team. The company is a distributor of of brand-name office equipment, computer technology, ink and toner supplies, consumer electronics and accessories, cleaning and breakroom products, tools, janitorial, and sanatorial supplies. The ideal candidate is organized, reliable, and eager to learn with a strong commitment to delivering excellent administrative and customer support.
Responsibilities:
Accounts Receivable (AR): Assist with invoice preparation, payment tracking, and account reconciliation
Accounts Payable (AP): Process vendor invoices, prepare payment runs, and maintain accurate records
Data Entry: Enter and update customer, vendor, and transaction information accurately into company systems
Purchasing: Assist in placing and tracking purchase orders, communicating with vendors as needed
Order Processing: Support processing of incoming sales orders and coordinating fulfillment with internal teams
Issue Resolution: Help resolve general administrative or transactional issues by coordinating with relevant departments
Customer Service: Respond to client and vendor inquiries via phone and email with professionalism and clarity
Qualifications:
High school diploma or equivalent (Associate’s degree preferred)
Proficient in Microsoft Office (Excel, Word, Outlook)
Excellent attention to detail and strong organizational skills
Effective verbal and written communication
Ability to manage multiple tasks and prioritize in a fast-paced environment
Strong willingness to learn and grow professionally
