Summary

The Executive Assistant to the CEO is a highly organized and proactive professional responsible for managing the CEO’s calendar, communication, and travel arrangements. This role involves organizing meetings and events, preparing meeting materials, and ensuring follow-up actions are tracked and completed. The role demands a high level of discretion, professionalism, attention to detail, and excellent communication and organizational skills.

Responsibilities

Works closely with the President & CEO, helps plan and organize the schedules and administrative activities to ensure that all Executive obligations are met.
Manage the CEO’s calendar, including scheduling meetings, appointments, and events.
Schedules appointments, composes needed correspondence, reads, and routes incoming mail to President & CEO, and performs other administrative and clerical duties.
Maintain confidentiality and handle sensitive information with discretion.
Manage President & CEO expenses and reimbursement claims, including company credit card expense reports and associated receipt documentation.
Prepare correspondence, reports, presentations, and other documents as needed.
Provide administrative support to CEO, Senior Staff, and Board of Directors. Assist with special projects and initiatives as directed by CEO.

Travel Coordination:

Assists with the administration of the corporate business travel account with AMEX Global Business including user set up, travel booking, training, and reservation changes.
Arrange complex and detailed travel plans, itineraries, and agendas for President & CEO, Senior Staff, and Board of Directors. Required to be available through phone/email/text while they are on company sponsored trips regardless of day/time.
Coordinate flights, accommodations, ground transportation, restaurant reservations, and other travel-related activities.
Handles changes and adjustments to travel schedules promptly and efficiently.
Prepare travel expense reports and manage reimbursement processes.

Meeting and Event Planning:

Organize and coordinate executive meetings and events, including venue selection, catering, and logistics.
Prepares meeting notices and materials, schedules and manages Zoom meetings, assists with PowerPoint presentations, meeting minutes, and any additional needs for Board of Directors meetings. Interfaces with CEO, Senior Staff, and Legal Counsel as needed for these items.
Ensure follow-up actions from meetings are tracked and completed.
Acts as host of Board meetings and ensures Directors needs are met (coat room, coffee/tea, administrative help such as copies etc.). Required to be physically present and available before, during, and after all meetings.
Responsible for supply replenishment including Office supplies with WB Mason, building supplies (food/paper goods/coffee/cream/cleaning supplies), maintaining snack boxes on both floors.
Responsible for the stocking and upkeep of the Board room including paper goods/utensils/coffee/candy/food/beverage. Ensure Board room is always clean and ready for meetings.
Provides administrative support for the COO, CFO, and CSPO as needed.
Fulfills other duties as assigned by President & CEO.

Knowledge and Skills Required:

Associate’s degree in business administration or related field.
5+ years’ experience with Microsoft Office suite: Outlook/Word/PowerPoint/Excel/Teams
5+ years’ experience as an executive assistant to C-suite with special attention to confidentiality as it relates to the office of the President.
Exceptional planning, organizational, and time-management skills.
Strong written and verbal communication skills
Ability to work independently and handle multiple tasks simultaneously.
High degree of professionalism and emotional intelligence.

Job Type: Full-time

Pay: $55,000.00 – $65,000.00 per year
