Administrative Assistant

Location: Richmond– Virginia Department:

Reports to: Executive Assistant to the President Shift: N/A

Hourly/Salaried: Hourly FSLA status: Non-Exempt

Summary: The Administrative Assistant supports the College’s administrative department directors and academic program directors by managing administrative operations including payroll administration, compliance initiatives, personnel file organization and maintenance, and regulatory support. The ideal candidate for this position is proactive, attentive to detail, a team player, and able to analyze and understand finances and legal and/or regulatory language and documents.

Essential Duties and Responsibilities:

Payroll Management:
Oversee payroll administration, ensuring accurate and timely processing of payroll for employees.
Manage payroll systems and software and stay updated on payroll regulations and best practices.
Address payroll-related inquiries and issues from employees promptly and professionally.
Compliance and Legal:
Ensure compliance with local, state, and federal laws and regulations, as well as applicable accreditation. This includes regulations required for the receipt of Title IV funding from the US Department of Education under the Higher Education Act.
Develop and implement policies and procedures to maintain compliance.
Conduct audits and reviews to monitor adherence to regulatory requirements.
Training and Development:
Identify training needs and support the College by developing programs to enhance employee skills and performance.
Support career development initiatives and mentorship programs within the organization.
Metrics and Reporting:
Compile and analyze personnel metrics and data to support decision-making and strategic initiatives.
Prepare regular reports for senior management on personnel activities, trends, and outcomes.
Filing and Organization:
Support the College’s transition to paperless filing by scanning and organizing paper and digital records.
Maintain employee records in the College’s internal digital file system.

Qualifications:

Proven experience as an administrative assistant able to support senior management and quickly and efficiently carry out tasks.
Payroll experience, especially with ADP’s Time & Attendance or Workforce Now (WFN) system is a plus.
In-depth knowledge (or ability to gain in-depth knowledge) of best practices and regulations/standards in higher education.
Excellent communication and interpersonal skills, with the ability to build relationships at all levels of the organization.
Critical thinking skills and a proactive approach to time/task management is required.
Legal experience is a plus.
