Confidential Secretary to the Superintendent

The Roselle Park School District, a district where children come first , is seeking a highly organized, skilled, and confidential individual to serve as the Secretary to the Superintendent. This crucial role provides high-level administrative support to the Superintendent and plays a key part in the efficient operation of the Superintendent’s Office and district-wide administrative activities.

Responsibilities:

The Confidential Secretary to the Superintendent will be responsible for a wide range of duties, including but not limited to:

Providing comprehensive and confidential secretarial support to the Superintendent.
Supervising all administrative secretarial duties within the Superintendent’s office and coordinating school-level and district-wide administrative activities.

•Supervising the activities of other secretarial and clerical personnel assigned to the Superintendent’s office.

•Managing the Superintendent’s calendar, scheduling appointments, meetings, and interviews.

•Preparing, supervising, and assisting in the preparation of all correspondence, reports, and confidential materials emanating from the Superintendent’s office.

•Maintaining regular and locked confidential filing systems.

•Handling telephone communications with professionalism and efficiency, taking messages, and routing calls appropriately.

•Acting as a liaison between the Superintendent and staff, parents, community members, and other stakeholders, screening and routing inquiries and requests.

•Overseeing the hiring process for substitute teachers, including application management, credential verification, and preparation of lists for board approval.

•Assisting the Superintendent in compiling data and preparing reports required by law, administrative code, and board policy.

•Managing personnel records within the Superintendent’s office. (Attendance, Notes, Etc. )

•Maintaining, coordinating, researching, preparing, and completing district local, county, and state reports as required.

•Creating, maintaining, and distributing vacancy personnel announcements via email, the district website (including NJ Hire, etc.).

•Managing public correspondence and flyers for the Superintendent’s approval.

•Coordinating and assisting with community relations and receptions.

•Handling mail and correspondence, including responding to routine requests and preparing letters and responses.

•Ensuring all office communications meet proper written and oral English standards.

•Greeting visitors and directing them appropriately, while maintaining confidentiality.

•Maintaining efficient electronic and paper data collection and filing systems, including confidential files.

•Assisting in the preparation of reports and documents through data gathering, research, creating graphics, and using word processing and data management software.

•Creating forms and organizing data necessary for efficient office operation and required data collections.

•Arranging meeting details, preparing agendas and materials, and handling follow-up activities.

•Maintaining financial records for assigned accounts and budgets, including purchase orders and bookkeeping tasks.

•Maintaining a clean, attractive, orderly, safe, and efficient office environment.

•Recommending improvements to office procedures.

•Assisting the administrator in handling interruptions and emergencies.

•Operating business equipment and computer software necessary for the role.

•Assisting in the compilation of the Board packet and other materials for Board of Education meetings.

•Assisting in the preparation of materials for other meetings.

•Typing memos and letters at the request of Board of Education members.

•Attending Board of Education meetings and community meetings when requested.

•Maintaining a record of personnel actions/board resolutions not approved and following up as directed.

•Maintaining and following a specific monthly chronology of duties as specified by the Superintendent.

•Handling accurately all state reports, state testing materials, and orders.

•Assisting in the preparation of the district budget.

•Protecting the confidentiality of records and information about students, parents and staff.

Qualifications:

•Minimum of a High School diploma or equivalent.

•A minimum of two years of successful experience in a related secretarial or office position, or graduation from a recognized program of secretarial studies.

•Demonstrated enthusiasm and strong interpersonal skills to relate well with students, staff, administration, parents, and the community, including in difficult and emotional situations.

•Experience in school office work as determined by the board. Preferably experience in working in a District Board office.

•Knowledge of automated office equipment and excellent word processing, spreadsheet, and secretarial skills.

•Strong analytical, communication, and human relations skills.

•Thorough knowledge of school system routines and procedures.

•Must successfully complete a required criminal history background check.

•Willingness to substitute for other confidential secretaries as needed.

•Commitment to upholding and enforcing school rules, administrative regulations, and board policy.

•Willingness to participate in staff development opportunities.

•Demonstrated ethical and professional behavior and the ability to serve as a positive role model.

Terms of Employment:

Salary and work year to be determined by the board and based upon experience. 12 month Employment.

Annual Evaluation:

Performance of this job will be evaluated annually in accordance with NJ State law and the provisions of the board’s policy on evaluations.
