Description of Work
The North Carolina Center for Safer Schools is designed to address the problem of school and youth-related violence and serve as a customer-focused information center for research, training, and technical assistance related to school safety, crisis prevention and response. The primary purpose of this position is to provide administrative and clerical support to the division. This Administrative Specialist I is Non-Sworn/Administrative. Job responsibilities include the following:
Prepare correspondence, reports, and presentations.
Maintain records, databases, and filing systems to ensure compliance with state regulations, schedule meetings, appointments, and manage calendars for department leaders.
Serve as a liaison between internal and external stakeholders, handling inquiries and directing them to the appropriate parties.
Monitor and maintain office supplies and equipment, ensuring the office operates smoothly.
Assist with onboarding and training for new employees or interns.
Prepare and maintain accurate documentation for departmental activities, such as financial records, personnel files, and operational logs.
Ensure all documentation complies with state confidentiality and data management standards.
Assist in monitoring and tracking budgets, including processing invoices and reimbursements and periodically generating financial reports and ensuring timely submission to management.
Draft, review, and distribute administrative policies and guidelines as required.
Assist in organizing departmental meetings, workshops, and events, including coordinating logistical arrangements, venue bookings, catering, and participant communication.
Provide courteous and effective communication to the public and staff, resolving inquiries or escalating as needed.
This is a full-time position (40 hours per week) with Benefits.

To qualify for this position, applicants MUST document on the application that they possess ALL the following:
Experience handling and maintaining sensitive and confidential information in a business setting.
Demonstrated experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Demonstrated experience reviewing documents/files for accuracy and appropriate documentation.
Excellent written and verbal communication skills.
Selected candidates will undergo and must successfully complete a comprehensive background investigation which includes: credit and arrest checks; interviews with associates, personal and business references; verification interviews of employers; verification of education achievement; urinalysis drug screening; and submission of fingerprints.
Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

This is in addition to submitting fingerprints during the application process.
