The Aging and Long-Term Support Administration, Residential Care Services (RCS), is looking for an Administrative Assistant 3 to join their office in Kent, WA. In this role, you’ll provide administrative and secretarial support to the Assisted Living Facilities (ALF) Field Manager and team who are responsible for protecting the rights and privacy of vulnerable populations.
Some of what you’ll do:
Assist the ALF Field Manager and team with the assignment of intakes
Manage and process paperwork and packets to and from facilities for accuracy of submission and receipt that meet the required time frames; data entry of information, as required
Process full electronic packets for submission to central files
Provide administrative support to the ALF Unit Manager, as requested
Monitor and respond daily to emails and phone inquiries
Provide office coverage on assigned days to answer doors, check and process mail, and assist staff within the building as needed
Provide backup coverage for other programs as needed
Participate in unit meetings and Administrative Assistant team meetings.
Coordinate the search for and the location of records when requested: scan, organize, and electronically send records according to applicable filing systems, processes, and retention schedules
Assist Field Manager in the development, preparation, and processing of unit reports.
Develop new and/or modify existing work methods, procedures, or strategies to solve new or unusual problems
Assist with onboarding of newly hired staff
Other duties as assigned
What we’re looking for
Knowledge of office procedures and practices, records management, business management/practices, inventory control, communication, and correspondence practices in an electronic working environment
Ability to work independently, read, understand, and interpret policies and procedures, work effectively with others, communicate effectively
Proficiency in working with Microsoft Office applications
Excellent computer skills
Ability to multi-task and prioritize workload, meet time requirements for submission of data, and operate standard office equipment, such as printer, copier, electronic faxes, and multi-line phone system
Who should apply?
Professionals who have a high school diploma or GED, with three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
Formal education and training in office or administrative occupations, bookkeeping, or accounting will substitute year-for-year for the experience.
