Full Job Description

We are seeking a skilledE-commerce Back-Office Support Associateto be responsible for working with the E-Commerce management to manage financial transactions related to E-commerce sales, corporate gifting, and overall financial operations. This position requires meticulous attention to detail, strong organizational skills, and the ability to collaborate effectively with cross-functional teams. This person will be responsible for all invoices received for payment and for undertaking the payment of all creditors in an accurate, efficient, and timely manner. This role will report to our Director of E-Commerce.

RESPONSIBILITIES

Generate accurate invoices for e-commerce sales corporate gift orders.

Ensure timely delivery of invoices to clients and customers.

Collaborate with the sales team to verify order details and pricing.

Communicate with customer regarding vendor setup and communicate payment information and procedures as needed (ACH, credit card, wire transfer, etc.)

Monitor incoming payments from customers and serve as primary liaison with head office accounting and payments team.

Record payments accurately in the local accounting system, match all invoices with sales orders in the corporate ERP system.

Follow up on outstanding receivables and address any payment issues.

Prepare aging reports and analyze trends.

Work with E-commerce team to ensure timely payment and reporting processes.

Process outgoing payments in compliance with financial policies and procedures.

Perform day to day financial transactions, including verifying, classifying, and recording accounts payable data

Reconcile the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted.

Verify and investigate discrepancies, if any, by reconciling vendor accounts and monthly vendor statements.

Facilitate payment of invoices due by sending bill reminders and contacting clients

Generate reports detailing accounts payables status.

Record donations received from corporate gifting programs.

Allocate donations to the relevant accounts (e.g., charitable contributions, community initiatives).

Maintain documentation for tax purposes related to Corporate Social Responsibility activities.

Allocate expenses incurred while supporting other departments to appropriate cost centers or accounts.

Ensure accurate coding and classification of expenses and accurate allocation of shipping invoices.

Assist in preparing monthly reports.

SKILLS

Data entry skills along with a knack for numbers

High degree of accuracy and attention to detail

Outstanding written and verbal communication

Understand expense accounts and cost centers.

Understands compliance issues around accounts payable processes (W-9, sales tax, etc.)

REQUIREMENTS

Proven working experience as Accounts Payable Clerk or similar.

Solid understanding of basic bookkeeping and accounting principles

Proven ability to calculate, post and manage accounting figures and financial records

Hands-on experience with spreadsheets and proprietary software

Proficiency in English and in MS Office

Coursework in Finance, Accounting or Business Administration
