The Executive Personal Assistant to the CEO will have unique opportunities and a wide range of responsibilities in confidentially managing the personal affairs of the CEO and his family. Working with office-based Executive Assistants, this position will manage the house staff of a 10,000-square-foot estate in the beautiful Las Olas area of Fort Lauderdale.

The Executive Personal Assistant to the CEO is responsible for high-level, confidential support to the CEO and the CEO’s family. This individual has primary responsibility to provide a wide variety of comprehensive tasks and responsibilities related to the management of the CEO’s affairs in all aspects of daily life. Weekend, early morning, and evening work are required regularly.

What You’ll Do

Manage the house staff, including hiring, separations, scheduling, and reviewing performance.

Maintain accuracy, acquisition, and renewals on personal insurance policies (medical, home, vehicle, valuables), vehicle registrations, subscriptions, memberships, financial accounts, passport/identification, and credit card expirations for all family members.

Maintain CEO and family’s assets – including but not limited to family center, homes, planes, boats, cars, art, jewelry, books, collectibles, etc.

Collaborate with the CEO to create unique, memorable, and exclusive travel experiences.

Plan all travel, including flights, aircraft management, hotels, activity and dinner reservations, international travel authorizations and visas, meal delivery, and transportation (collaborating with office-based Executive Assistant). Confirm ALL travel plans (personal and professional) with hotels, plane managers, and others involved, and ensure CEO’s preferences are communicated and adhered to.

Plan all personal events, including catering, décor, invites, RSVPs, and other event-planning details. Work with corporate events department as needed.

Travel in advance of CEO on certain trips to ensure all details are covered prior to CEO touching down.

Manage personal tickets, including making sure that stakeholders, invitees, and the CEO have their tickets.

Work with CEO’s family to meet their needs (e.g., flights for children to come home, school-related tasks, personal appointments, etc.).

Coordinate with team to ensure location and scheduling of cars and boats.
