Job Summary:

We are seeking a versatile and reliable individual to join our team as a an Admin Assistant at Whidbey AV, a home technology installation company. In this multifaceted role, you will be the first point of contact for clients, assist with day-to-day administrative tasks, and help maintain smooth operations in the warehouse. Additionally, you will be responsible for meeting with contractors, presenting our services, and distributing brochures to effectively promote our business. The ideal candidate will have a positive attitude, excellent organizational skills, and a proactive approach to work. We are looking for someone who is naturally outgoing with the ability to think on their feet and maintain engaging conversations, even without having all the answers upfront.

Position starts at 20–25 hours per week, with potential to grow into a full-time role as your skills and task management abilities develop.

Benefits become available at 32 hours per week.

Key Responsibilities:

Greet and welcome clients, visitors, and vendors with professionalism and courtesy.
Answer and direct incoming calls, respond to inquiries, and take detailed messages.
Manage the front desk area and ensure a clean, organized, and welcoming environment.
Schedule and coordinate appointments, meetings, and customer consultations.
Maintain and update the client database, ensuring accuracy and confidentiality.
Use marketing materials to pitch our services to potential clients and contractors
Assist with general office tasks, including filing, data entry, and document management.
Manage office supplies, place orders, and ensure adequate stock levels for day-to-day operations.
Support the team with scheduling, managing emails, and coordinating calendars.
Handle billing and invoicing tasks, ensuring accuracy and timely processing.
Organize and maintain cleanliness of showroom, including vacuuming, taking trash out, etc.
Assist with inventory management, including receiving, and inspecting coming goods.
Ensure inventory of materials for upcoming projects is correctly allocated and counted
Assist with packing returns and dropping items off as needed

Qualifications:

Proven experience in an administrative, receptionist, or warehouse role is a plus.
Ability to pivot between tasks
Able to independently seek out information and solutions.
Strong communication skills, both written and verbal.
Proficiency in Mac OS
Strong organizational and multitasking abilities with attention to detail.
Ability to work independently and as part of a team.
Positive attitude, strong work ethic, and flexibility to handle varied tasks.
Drivers License with clean driving record and ability to pass a background check
