UGM-TC is funded entirely by the generosity of the community and offers a residency program for individuals looking to maximize their potential and transition out of homelessness. Through the programs and services provided, individuals develop essential life skills to become independent, productive members of our community. UGM-TC is God’s healthy place to end homelessness one person at a time.

Position Summary

The Executive Administrator provides high level administrative support to the CEO and CEO Emeritus. The Executive Administrator must have excellent verbal communication skills, good judgement, exceptional time management skills, and be able to prioritize multiple projects or demands appropriately.

Essential Job Functions

Setting and managing the daily schedules and calendars of company executives

Coordinate travel arrangements.

Maintain minutes or notes for meetings and complete executive diary.

Track expenses and prepare expense reports.

Manage all preparations for meetings, including technical set-up, space readiness, and printing or document preparation.

Manage email inbox and screen visitors or callers.

Own master calendar for Mission

Manage filing systems, electronic and paper.

Prepare presentations for fundraisers, board meetings, etc.

Conduct research as necessary.

Negotiate with vendors, manage relationships for optimal success.

Ensure timely submission of all documentation internally and externally.

Work collaboratively with leaders and employees in organization.

Attend events as a representative of UGM.

Drafts communication from CEO’s to employees or donors

Track budget or timelines for construction or other projects.

Pull and organize daily, weekly, monthly, quarterly, or annual reports.

Manage projects as assigned.

Interface with or manage social media and podcast content.

Other duties as assigned.

Skills and Qualifications

Bachelor’s Degree or 10 years related experience preferred.

Proactive with the ability to take initiative.

Sense of urgency while also attentive to details.

Superior email etiquette and communication skills.

Highly proficient in Microsoft Office Suite, including PowerPoint

Skilled in creating or using Excel workbooks.

Creative

Flexible and willing to pivot as demands change.

Experience with social media content.

Must be able to maintain the highest levels of discretion and confidentiality.
