Harken Research is an ISO17025 accredited testing laboratory located in Los Angeles with two core business units: consumer product testing and pharmaceutical contract research. Within the consumer product testing unit dietary supplements, food, and cosmetics are the focus – with additional testing services catering to other industries. Summary

We are seeking an Office Manager to serve as the administrative and bookkeeping lead for the company. Key duties include heavy daily invoicing via QuickBooks online, collections, review of accounts payables; HR support; and various administrative duties.

Accounting Duties

· Receivables: Invoicing and collections

· Payables: Reviewing vendor invoices for accuracy, presenting to ownership for approval, and issuing payment

· Prepare commission reports for sales team

· Help with budgets and monthly reports

HR Duties

· Coordinate candidate interviews and onboard new employees

· Administration of employee benefits

· Organize company events and meetings

Administrative Duties

· Answering phone calls

· Answering the door to receive clients, visitors, and deliveries

· Scheduling FedEx and UPS pickups

· Provide general administrative support to the executive team

· Scan documents and organize physical and electronic files

· Review insurance renewals and gather quotes for comparison

· Manage compliance items including business license renewals, chemical waste license, HR notices, etc.

Qualifications

Bachelor’s degree in Business Administration, Operations Management, or a related field (or equivalent experience).
2-4 years of experience in an operations, administrative, or bookkeeping role.
Strong proficiency in QuickBooks Online and Excel.
HR experience a plus
Excellent written and oral communication skills.
Customer service experience.
Experience in a testing laboratory is a plus.
Excellent organizational and time management skills.
Ability to multitask and manage competing priorities in a fast-paced environment.

Pay: $23.00 – $27.00 per hour
