Missions – Reception :

• Welcome visitors

• Ensure deliveries and reception of packages

• Manage mails and dispatching

• Maintaining the reception area and managing daily well-being in the premises (provision of coffee, fruit basket, network, etc.) linked to our employees

• Access management (provide badges according to the process)

• Management of daily issues on site, for services and goods related to our installations to our devices/equipment.

• Small administrative work (scanning, photocopying, archiving)

• Taxi reservations

• Daily relationship with suppliers.

• Provide support, assistance, guidance and advices to expatriates and local employees in the face of various problems and challenges. Provide translation assistance and advise on local and specific issues.

• Provide punctual support to HR on receiving and enveloping of sensitive mails

• Marketing support for one-off events

• Ordering supplies according to processes.

Under the supervision of your Manager, responsible for GWS France, Belgium, you will provide support on the following daily tasks:

• Processing of invoices and quotes on a daily basis via the internal Toscana system

• Capex/Opex processes and track/manage additional processes for contract creation. Cooperate with finance and legal teams to conclude contracts.

• Ensure that GWS processes/procedures are in place to meet the requirements of the various audits and ensure our compliance.

• Plan and implement the concept of quality, health, safety and environment for HCL in cooperation with external agency and central team. Ensure safety requirements and report accidents and incidents to comply with local legal requirements.

• Manage mobile phone subscriptions and devices. Also manage any desktop extensions when necessary.

• Manage GWS / Compliance / Legal requirement audits

• Communicate/inform your Manager on relevant topics related to the office and employees.

• Manage critical equipment that supports our data center. (UPS/fire system/PAC/fire system, etc.,)

Missions – Sales:

• Manage meeting room reservations for Sales

• Respond to all internal and external requests relating to current files,

• Attend preparatory meetings for field actions,

• Small translation works,

Profile :

– Bac +2 training Type BTS SAM (support for managerial action) or equivalent.

– Good oral and written level of English required

– Significant experience required in the field of assistantship and corporate reception (2 years minimum)

– Good mastery of the Office Pack and Visio conference tools

– Excellent communication with superiors

– Excellent telephone and physical contact, sense of service and interpersonal skills

– Team spirit, Tenacity, Energy, Autonomy,

– Patience, Rigor, Organization, Discretion,

– Motivation to work in a company on a human scale but with a global presence
