This hybrid role combines executive support, office management, payroll coordination, and event planning responsibilities. The position requires a highly organized and proactive professional who can manage multiple priorities in a fast-paced environment while supporting senior leadership and ensuring smooth day-to-day operations. *There will be one to two overnights on travel per month.

The Executive Assistant serves as a key partner to leadership by managing schedules, coordinating communications, supporting operational activities, and ensuring efficiency across the executive office.

Key Responsibilities

Executive Support

  • Manage complex executive calendars, scheduling meetings across multiple time zones and prioritizing competing demands
  • Coordinate executive meetings, prepare agendas, and organize materials
  • Prepare briefing materials including background research and participant bios
  • Coordinate domestic travel arrangements and manage frequent schedule changes
  • Process executive expense reports and maintain accurate documentation
  • Serve as a liaison between executives and internal and external stakeholders
  • Track key action items and follow-ups from meetings to ensure timely completion
  • Act as a trusted gatekeeper and strategic partner to leadership, managing priorities and executive workflow

Payroll Administration

  • Coordinate payroll preparation for multiple internal teams and operational groups
  • Maintain payroll records including time sheets, new hires, and employee terminations
  • Prepare payroll documentation for executive review and approval
  • Partner with internal payroll teams to ensure timely and accurate payroll processing

Office Management

  • Oversee day-to-day administrative operations of the office
  • Manage office bills, vendor invoices, and operational expenses
  • Coordinate incoming mail distribution and administrative documentation
  • Order and maintain office supplies and support general office organization
  • Assist with administrative coordination to maintain a productive and efficient workplace

Event & Client Hospitality Coordination

  • Plan and coordinate executive and client events throughout the year
  • Support logistics for major hospitality events including golf tournaments and client entertainment
  • Coordinate travel arrangements, itineraries, and hospitality for event attendees
  • Prepare executive briefing materials and client bios for key meetings and events
  • Manage event schedules, logistics, and follow-up coordination to ensure successful execution

Qualifications

  • Bachelor’s degree preferred or equivalent professional experience
  • 5+ years of experience supporting senior executives in a corporate environment
  • Exceptional organizational and time-management skills with strong attention to detail
  • Strong written and verbal communication skills
  • High level of professionalism, discretion, and judgment when handling confidential information
  • Advanced proficiency with Microsoft Office and collaboration tools
  • Ability to anticipate executive needs and proactively solve problems
  • Experience coordinating complex travel and large-scale meetings or events
  • Experience supporting senior leaders in a fast-paced corporate or industrial environment preferred
  • Strong executive presence and ability to interact professionally with senior leaders and external stakeholders

Work Location:

This position follows a hybrid work structure, with time split between the office and remote work. Candidates should be comfortable working on-site regularly to support executive leadership while maintaining flexibility to work remotely when appropriate. Compensation

The target compensation range for this role is $100,000 –

$120,000 annually, depending on experience and qualifications.
