Position Overview
We are seeking a highly organized and proactive Executive Administrative Assistant to provide dedicated support to senior leadership in a fast-paced corporate environment. This role requires exceptional calendar management, strong multitasking abilities, and the ability to independently manage competing priorities while maintaining professionalism and discretion.
The ideal candidate is adaptable, detail-oriented, and capable of anticipating executive needs while ensuring day-to-day operations run smoothly.
Key Responsibilities
Executive Support & Calendar Management
- Manage and optimize a senior executive's calendar across multiple time zones
- Coordinate meetings with executives, clients, and internal stakeholders
- Anticipate scheduling conflicts and proactively adjust priorities
- Prepare weekly briefing materials, agendas, and logistics plans
- Arrange and coordinate business travel, including flights, hotels, transportation, and meals
- Prepare and manage expense reports and approvals
- Support invoice processing and expense tracking for leadership initiatives and consulting engagements
Office Management
- Maintain office supply inventory and reorder materials as needed
- Keep kitchen and common areas stocked and organized
- Coordinate with building management and vendors regarding office maintenance needs
- Ensure timely payment and coordination of office service providers and contractors
Meeting & Event Coordination
- Plan and execute leadership meetings and company events
- Coordinate regional town halls, executive offsites, and leadership gatherings
- Organize candidate interview days and related logistics
- Manage meeting schedules, materials, catering, and attendee communications
Qualifications
- 3+ years of executive administrative support experience preferred
- Strong calendar management experience supporting senior-level executives
- Experience coordinating travel arrangements and expense reporting
- Excellent organizational and multitasking skills
- Ability to pivot quickly and manage urgent requests
- Strong communication and interpersonal skills
- Self-starter who can work independently with minimal supervision
- Proficiency with Microsoft Office Suite and virtual meeting platforms
