Overview:
The Human Resources Administrative Assistant plays a vital entry-level support role within the Human Resources Department at Horizon Recovery. This position provides a wide range of clerical and administrative assistance to ensure the smooth operation of employee onboarding, compliance tracking, internal communications, and file management. The Human Resources Administrative Assistant works closely with the Director of Human Resources and other HR staff to support documentation processes, training enrollment, and routine staff communications. The role also includes assisting staff in resolving basic HR-related issues, including coordinating with third-party vendors such as IT support, benefits administrators, and insurance brokers. The ideal candidate is organized, detail-oriented, responsive, and capable of handling confidential information with professionalism and discretion.
Responsibilities:
Serve as the first point of contact for general HR administrative support tasks.
Perform password resets and technical access assistance for HR platforms and training systems.
Enroll staff in required training modules and track completion status.
Maintain up-to-date and complete electronic and paper-based employee files.
Audit personnel files regularly for compliance with state regulations and internal policies.
Reach out to staff via phone or email to collect missing documents, training certificates, or other compliance items.
Upload, index, and manage HR documents in the appropriate digital filing systems.
Assist in organizing staff meetings, training, or internal HR communications.
Support rollouts of new policies, HR systems, or training initiatives by helping with scheduling, communications, and coordination.
Provide administrative assistance for grant compliance tracking and related reporting.
Coordinate with partner organizations and internal departments to ensure accurate personnel data exchange where applicable.
Liaise with third-party vendors (e.g., IT service providers, employee benefits platforms, insurance brokers) to help employees resolve technical issues, benefits setup problems, or insurance-related concerns.
Track and follow up on vendor communications to ensure timely resolution of employee needs.
Schedule employee appointments or calls with vendor representatives as needed.
Maintain a tracking log of common issues and resolutions to assist future inquiries.
Qualifications & Job Specifications:
High school diploma or GED required; Associate’s or bachelor’s degree in human resources, Business Administration, or related field preferred.
Previous experience in human resources preferred
Excellent communication and networking skills
Excellent computer and documentation skills
Self-Driven and Motivated
Valid Driver’s License.
21 years of age or older.
Be able to pass a criminal background check.
Strong computer skills, including proficiency in Microsoft Office, Google Workspace, and HR or LMS platforms.
Ability to communicate clearly and professionally with all levels of staff.
Attention to detail and accuracy in documentation and data entry.
Previous administrative or HR-related experience strongly preferred.
Comfortable making follow-up calls or emails to staff regarding required documents or training.
Ability to handle confidential information with integrity.
Familiarity with state and federal employment law and HR best practices is a plus.

Job Type: Hybrid – Onsite 2 days per week
Work schedule: Monday-Friday 8:00AM-5:00PM
Job Location: Onsite 2 days per week at our Scottsdale office located off 101 and Pima Road (you may need to work at other locations within the north valley as well, not just this location). The rest of the week will be working from home.
Pay: $20 per hour
