Description
We seek an experienced and highly professional Executive Assistant (EA) to join our team. As an EA, you will provide comprehensive administrative support to our executives and ensure the smooth functioning of our organization. You will be crucial in managing the day-to-day operations, organizing schedules, coordinating meetings, and executing various administrative tasks. The ideal candidate will be detail-oriented, highly organized, and possess excellent communication skills. Responsibilities
Manage executives; calendars, including scheduling and coordinating meetings, appointments, and travel arrangements.
Prepare and distribute correspondence, memos, reports, and presentations.
Act as the primary point of contact between executives and internal/external stakeholders.
Screen and prioritize phone calls, emails, and other forms of communication.
Coordinate and manage projects, ensuring deadlines are met and deliverables are completed promptly.
Create and maintain effective filing systems, both physical and electronic
Conduct research and provide comprehensive information for decision-making purposes.
Maintain confidentiality and handle sensitive information with discretion.
Organize and coordinate special events, including conferences, workshops, and team-building activities.
Assist with budgeting and expense tracking as required.
Perform other administrative tasks and ad-hoc duties as assigned.
Requirements
Proven experience as an Executive Assistant or similar role
Proficient in Microsoft Office Suite and other relevant software applications
Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
Excellent written and verbal communication skills
Exceptional attention to detail and accuracy
Ability to work independently and in a team environment.
Discretion and confidentiality in handling sensitive information
Strong problem-solving and decision-making abilities
Flexible and adaptable, able to thrive in a fast-paced and changing environment.
Professional and polished demeanor, with excellent interpersonal skills
Bachelor’s degree in business administration or a related field preferred
Available to work outside of regular business hours when necessary.
