Job Summary:
We are seeking a professional, reliable, and detail-oriented Front Desk Receptionist / Administrative Assistant to be the first point of contact for our busy CPA firm. The ideal candidate will provide front office support, manage daily administrative tasks, and help ensure smooth office operations—especially during peak tax season. This is a client-facing role requiring strong communication skills, discretion, and a proactive approach to organization.
Key Responsibilities:
Reception Duties:
Greet clients and visitors warmly and professionally
Answer and route incoming phone calls in a courteous and efficient manner
Schedule and confirm appointments and meetings
Maintain a clean and welcoming reception area
Administrative Support:
Organize and maintain client files (physical and digital)
Handle incoming and outgoing mail, packages, and courier services
Assist with document preparation, formatting, scanning, copying, and filing
Support CPAs and other staff with day-to-day administrative tasks, including data entry and billing
Maintain and reorder office supplies as needed
Assist in coordinating client onboarding and intake documentation
Upload documents and assist with electronic filing using ProSeries Tax Software
Client Interaction:
Handle confidential client documents with professionalism and discretion
Follow up on missing documentation or signatures
Assist clients with using secure portals and submitting required materials
Track document submissions, deadlines, and electronic signatures
Additional Duties:
Provide general office support during busy periods, including extended hours during tax season
Assist with seasonal mailings, reports, or client outreach
Perform other administrative or clerical duties as needed
Qualifications:
High school diploma or equivalent; associate degree or higher preferred
Minimum of 2 years of receptionist or administrative experience (CPA or professional services firm preferred)
Strong verbal and written communication skills
Proficient in Microsoft Office (Word, Excel, Outlook)
Experience with ProSeries Tax Software and QuickBooks is a plus
Excellent organization, attention to detail, and multitasking ability
Ability to handle sensitive information with confidentiality
Professional appearance and demeanor
Compensation & Benefits:
Competitive hourly wage (commensurate with experience)
