ABOUT THE ORGANIZATION

Operation PAR, Inc. is a non-profit organization offering the full continuum of services for individuals with substance use and/or mental health disorders. PAR has been providing comprehensive behavioral health treatment in west Florida since 1970 through advocacy, education, clinical services, and research.

JOB DESCRIPTION:

The Executive Assistant plays a crucial role, offering comprehensive support to the CEO and Chief Officers, managing correspondence, emails, and schedules, and preparing for meetings. This role demands mastery in utilizing personal computer systems for document handling, effective phone communication, and a commitment to confidentiality. With exceptional organizational and communication skills, the ideal candidate efficiently coordinates tasks and projects, serving as a strategic asset to the executive team and enhancing our leadership’s effectiveness in achieving the organization’s mission.

EDUCATION AND EXPERIENCE:

Associate’s degree from an accredited college or university required. Four years work experience involving executive assistant duties required.

ESSENTIAL JOB FUNCTIONS:

Performs duties of an Executive Assistant nature and participates directly in the work of administrative operations.

Coordinate travel/hotel accommodations for conferences and out of town meetings to completion, including expense vouchers as required.

Coordinate meeting preparation for Chief Officers, including preparation of board materials, agendas, minutes, etc.

Assists in the scheduling of appointments as required.

Oversee the Chief Officer’s email correspondence, manage calendar appointments, and respond on behalf of the Chief Officer as required.

Receives, screens, and refers callers to proper personnel.

Takes notes and minutes of conferences, meetings and functions as requested.

Prepares correspondence/forms/documentation as required by the Chief Officers

Performs special projects as requested by the Chief Officers

Process mail: date stamp, review, and highlight items of importance for Executive Staff

Maintain high level of confidentiality with all aspects of the position.

Creates corporate reports and presentations as needed.

SKILLS AND ABILITIES:

Proficiency in business English, encompassing spelling and punctuation for proficient document preparation and various forms of correspondence.

Competence in file management methodologies.

Familiarity with office protocols and practices.

Proficiency in computer operations, including Windows, Word, Zoom and Teams as well as any specialized software pertinent to the role.

Capacity to cultivate and sustain constructive, amicable working connections with colleagues and the community.

Aptitude for courteous and pleasant communication.

Proficient communication skills utilizing speaking, hearing, and visual faculties.

Must pass fingerprinted level II background check and drug screen.
