Executive Assistant – Hybrid – MA

My client is seeking a highly organized and proactive Executive Assistant to support their executive team. The ideal candidate will be experienced in handling a wide range of administrative and executive support tasks and will be able to work independently with little or no supervision. This role requires the ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality.

Responsibilities:

Provide administrative support to the executive team, including managing calendars, scheduling meetings, arranging travel, and preparing expense reports.

Act as the primary point of contact for internal and external stakeholders on behalf of the executives.

Coordinate and manage communications, including taking calls, responding to emails, and interfacing with clients, partners, and other stakeholders.

Prepare and edit correspondence, communications, presentations, and other documents for the executive team.

Assist in the preparation of reports, presentations, and data analysis for executive meetings and presentations.

Conduct research and gather information as requested by the executives.

Manage special projects as assigned by the executives, including coordinating cross-functional teams and tracking project milestones.

Maintain confidentiality and handle sensitive information with discretion and professionalism.

Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion.

Serve as a liaison between executives and other departments within the organization.

Qualifications:

Bachelor’s degree preferred.

7 years experience as an executive assistant within biotech, pharma or Medical device

Strong organizational skills with the ability to multitask and prioritize tasks effectively.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to work independently and collaboratively within a team environment.

Discretion and confidentiality in handling sensitive information.

Strong attention to detail and problem-solving skills.

Ability to adapt to changing priorities and work well under pressure.

Positive attitude and willingness to take on new challenges.
