A High-Level Executive Assistant is required for a top-performing real estate team. The owner hopes to spend much less time on the daily administrative work and much more time coaching agents to sell real estate with this person’s assistance. Like other team members, we are searching for an extraordinary candidate who is prepared to go above and beyond.
The best applicant will have experience in real estate, but it’s not necessary. The applicant ought to have experience developing and putting into practice office-based processes and procedures. This person needs to love “to-do lists” and possess a strong sense of urgency. This individual should be experienced in handling administrative tasks for a business or executive and enjoy a fast-paced work environment.
The ideal candidate will work well with minimal supervision, be able to work in a deadline-driven environment while staying organized and focused. There is a wide opportunity to take on more responsibility and leadership within the team.
Compensation:
Salary Range: $45,000 – $55,000, depending on experience
Paid Time Off (PTO)

Responsibilities:
The Executive Assistant builds, implements, and manages all systems for transaction coordination, internal communication, client communication, financial management, information management, central database management, and marketing.
Managing day-to-day office operations.
Assists as needed in documenting the systems of other departments, including customer service, buyer, seller, lead generation, tracking, and expansion systems. These will all be documented via an Operations Manual and by video.
Oversees all financial systems, including maintaining the books, paying the bills, ensuring the collection of commissions, maintaining the budget, and generating financial reports.
Oversees all contracts through closing and manages all aspects of the operations and sales portion of the closing process.
Creates and maintains an operations manual that documents all systems and standards in writing and in video.
Coordinates the purchase, installation, and maintenance of all office equipment.
Is responsible for hiring, training, consulting, and holding accountable all additional sales agents.
Is responsible for overseeing all company marketing processes and procedures.
Maintains all accountability for sales quotas and mentors to help hit monthly, quarterly and annual goals.
Responsible for all sales tracking and all ROI tracking for lead systems.
Responsible for pulling reports that reflect the status of the business/managing the pipeline.
Eventually (or immediately for higher level candidates) hiring, training, and holding team members accountable.
This person will LOVE checklists, “to-do” lists, paperwork and finds the challenge of turning chaos into order, fun!
Qualifications:
Strong attention to detail.
Tech savvy; up-to-date with the latest office gadgets and applications and able to navigate new systems quickly.
Able to multitask and prioritize daily workload – can work on multiple projects at once.
Able to work independently to support a team and appropriately manage time.
Effective interpersonal skills, including superior oral and written communication skills.
Strong problem-solving abilities.
Discretion and confidentiality.
College degree and social media experience preferred.
Candidate will need to be willing to obtain a real estate license upon hiring (Agent will reimburse).
Must be thorough and LOVE to-do lists.
This person must have a CAN and WILL DO attitude. This person will do anything and everything they need to in order to free their Agents up to sell.
Reliable transport for occasional errands.
