Executive Assistant
We are seeking a highly organized and proactive Executive Assistant to support our SVP of Enterprise & Field Marketing. The ideal candidate will be a detail-oriented professional with excellent communication skills and the ability to manage multiple tasks efficiently. This role requires a high level of discretion, as you will be handling sensitive and confidential information.
What you get to do in this role:
Administrative Support:
Manage and maintain the SVP’s calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and edit correspondence, reports, presentations, and other documents.
Handle incoming and outgoing communications, including emails, phone calls, and mail.
Meeting Coordination:
Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
Arrange logistics for meetings, such as booking conference rooms, setting up video conferencing, and ensuring necessary materials are available.
Travel Management:
Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
Prepare travel expense reports and ensure timely reimbursement.
Project Management:
Assist in the planning and execution of special projects and initiatives.
Track project progress and provide regular updates to the SVP.
Office Management:
Maintain office supplies and equipment, ensuring everything is in working order.
Coordinate with IT and facilities teams to address any office-related issues.
Confidentiality and Discretion:
Handle sensitive and confidential information with the utmost discretion.
Ensure compliance with company policies and procedures regarding confidentiality.
Communication and Liaison:
Act as a liaison between the SVP and internal/external stakeholders.
Facilitate communication and collaboration across different departments and teams.
Event Planning:
Assist in organizing and coordinating events, such as conferences, webinars, and team-building activities.
Manage event logistics, including venue selection, catering, and guest lists.
Qualifications:
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to multitask and prioritize tasks effectively.
High level of professionalism and discretion.
Strong attention to detail and problem-solving skills.
Compensation: $40 – $50.91 per hour
